We looking for an administrative assistant professional who will provide support to a busy family owned construction company / electrical contractor office in a variety of capacities. The primary role is to facilitate the smooth running of an office or organization by taking on a range of tasks. The specific duties includes:
General Office Tasks: Handle incoming and outgoing correspondence, including mail and email. Answer phones, direct calls, and take messages.
Scheduling: Coordinate and manage appointments, meetings, and the calendar for executives or the office.
Data Entry: Input, update, and manage data into various databases or software platforms.
Document Management: Create, edit, and proofread business documents and reports. Maintain electronic and physical filing systems.
Event Coordination: Assist in planning and coordinating events.
Financial Tasks: Assist with invoicing, collect receipts and basic cost coding in Quick Books, expense reports, lien waivers, A/P, A/R, insurance certificates and other basic bookkeeping.
Supplies Management: Monitor office supplies, place orders when necessary.
Liaison: Act as a point of contact between vendors, subcontractors , customers, executives and employees.
Research: Conduct research on various topics as required, which may include finding vendors or services.
Skills and Qualifications:
- Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced construction office environment.
- Communication Skills: Proficient in both oral and written communication, with the ability to interface with people at all levels of the organization.
- Technical Proficiency: Familiarity with office software tools, including word processors, spreadsheets.
- Detail-Oriented: Ability to pay attention to details to ensure accuracy and completeness of tasks.
- Discretion: Handle confidential information with sensitivity and integrity.
- Problem Solving: Ability to handle company clients issues and maintain proper level of customer communication.
- Adaptability: Flexibility to adapt to changing work demands.
Educational requirements for this position require at least a high school diploma or equivalent.

Pay: From $21.00 per hour
Expected hours: 20 – 50 per week
