Job Description: Client Operations Specialist
Our successful financial planning firm in Provo, UT, is growing, and we want to add another member to our team! We are seeking a full-time Client Operations Specialist to help new/existing clients with customer service work.
Office Hours: Mon – Thursday 8:30-5:30, Friday 8:30 – 3:00, some late evenings
Pay: $22 - $24 depending on experience
Job Description:
The purpose of this position is to service new and existing clients, helping to handle incoming client service calls, database management, and client appointment preparation, including updating client account summaries for their review meetings, preparing advisors for their review meetings, and preparing issued accounts for delivery.

Responsibilities:
- Prepare and process appointments and applications.
- Record and update client records and company trackers
- Assist with client service requests
- Coordinate and follow up on each client transfer
- Handle day-to-day client transactions and problem resolution
- Provide outstanding customer service via appointment, phone, or email
- Assist with scheduling appointments
- Develop, manage, and retain strong client relationships
- Maintain professional communication with clients and team
- Assist with client updates, reports, and mailings
Qualifications:
- Honest
- Bachelor's Degree preferred, but not required, or 2 + years of office experience
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and OneNote)
- Self-directed initiative
- Can follow processes/instructions
- Ability to maintain professionalism and confidentiality when dealing with sensitive information and business matters
- Ability to work independently, utilizing good common sense and resourcefulness
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Phenomenal phone skills and knowledge to build trust with clients
