Job Description:
As the Office Manager, you will play a pivotal role in optimizing our office operations for maximum efficiency. We are looking for a results-driven individual who can take charge and implement a structured framework, ensuring accountability and adherence to operational standards.
Job Duties & Responsibilities:
Operational Optimization:
Implement strategic initiatives to streamline office processes and enhance overall efficiency.
Develop and enforce policies to ensure compliance with industry standards and company expectations.
Collaborate with HR & EPA on in-office company initiatives and events.
Assist in budget planning for office-related expenses.
Monitor and control office-related expenditures to stay within budget.
Exercise a no-nonsense approach to resource allocation, keeping a keen eye on budgetary constraints.
Monitor and control office operating expenses with a firm commitment to financial responsibility.
Administrative Tasks:
Manage and organize office operations and procedures.
Handle incoming calls, emails, and correspondence.
Coordinate and schedule meetings, appointments, and events.
Maintain office supplies inventory and reorder as necessary.
Assist in the preparation and editing of documents and reports.
Team Coordination:
Act as a central point of contact for team members.
Keep track of team members' schedules, deadlines, and deliverables.
Assist in onboarding new team members.
Facilitate effective communication within the team.
Facility Management:
Ensure the office is well-maintained and fully operational.
Coordinate with external vendors for office services and maintenance.
Address and resolve any facility-related issues promptly.
Travel Coordination:
Book flights, accommodations, and transportation for team members.
Research and negotiate with travel vendors to ensure cost-effective solutions.
Develop and maintain a travel policy to streamline the booking process.
Performance Oversight and Policy Enforcement:
Conduct regular check-ins to evaluate project timelines and team productivity.
Implement corrective actions when necessary to ensure optimal performance and results.
Act as a firm enforcer of company policies, addressing violations assertively and consistently.
Collaborate with HR to maintain a culture of accountability and performance excellence.
Expectations & Qualifications:
Proven experience as an Office Operations Manager or in a similar role.
Strong organizational and project management skills.
Excellent communication and interpersonal abilities.
Familiarity with office management software and tools.
Ability to take a decisive and assertive approach to enforcing policies.
