We are looking for an experienced Executive Personal Assistant to join our team.
Job Description:
Seeking a highly motivated, well organized Executive Personal Assistant with excellent communication skills to support the owner in both professional and personal capacities. The successful candidate will play a key role in providing comprehensive support to the owner of F.L. Wolters Group with both work and home task management.
Responsibilities:
Professional Support:
- Serve as the primary executive assistant for the owner of F.L. Wolters Group, managing her calendar, scheduling meetings, and handling correspondence.
- Manage the owner's administrative schedule, freeing her to focus on core business activities.
- Prepare meeting agendas and presentations.
- Manage the owner's email inbox, including reviewing and composing emails as directed.
- Respond to general inquiries on the owner's behalf.
- Organize occasional business travel logistics, including flights, hotels, and itinerary management, as well as securing business cards and loyalty points.
- Conduct research and compile reports as needed.
- Manage and maintain the owner's personal social media presence, including creating content, scheduling posts, and interacting with followers.
- Assist with the transition from sole proprietorship to S corporation (SCORP), including organizing documents for review and approval.
- Function as a transitional office manager on an occasional basis, overseeing administrative tasks.
Personal Support:
- Coordinate and oversee the renovation of the owner's D.C. residence, liaising with contractors and ensuring project deadlines are met.
- Assist with the relocation of family members to other states, providing logistical support and coordination.
- Manage contracts and operations for the maintenance of four family homes, including overseeing repairs and maintenance schedules.
General:
- Communicate effectively with team members to ensure smooth workflow and project completion.
- Work both independently and collaboratively with team members and family members, displaying a positive attitude.
- Maintain confidentiality and professionalism at all times, demonstrating discretion in handling sensitive information.
- Obtain HIPAA certification or demonstrate willingness to obtain certification as required for handling confidential client information.
