The Administrative Assistant is a member of the Administration Team and is responsible for a variety of daily, weekly, and monthly clerical duties, including but not limited to data entry, customer service, general office, reporting, and accounting. This position works closely with management, human resources, and branch managers to meet the needs of the company.

Position Responsibilities:
- Invoicing for branch
- Monitor/report on Aged AR and alert Account Managers when contact with customers is needed
- Aspire Purchase Receipts
- Review for accuracy – check purchase items are entered correctly
- Make sure the invoice is attached
- Verify it is only one invoice per PR
- Make sure the invoice amount matches the total amount on the PR
- Make sure the invoice number and vendor name match what is in the PR
- Receiving PR’s
- Support the achievement of corporate financial goals by managing the timely and accurate preparation, review, approval, and implementation of assigned contract proposals, amendments, and extensions. (Aspire)
- Work independently and as an effective team member to consistently produce high-quality work by understanding requirements and company procedures.
- Provide excellent customer service, project professionalism, and courtesy to all internal and external customers.
- Collect, reconciliate, and manage receipts and tickets daily
- Complete all other duties as assigned by the Supervisor.
- Aspire software experience (preferred)
- Must be Bilingual
