Responsibilities:
- Monitoring the Property Management email inbox for inbound tenant maintenance and other requests.
- Resolve tenant complaints and requests related to properties, including but not limited to, parking, waste management, keys, mail, internet service, late payments, security deposit refunds, maintenance, etc.
- Contacting vendors, suppliers, and contractors to prepare maintenance bids, source materials, obtain lien releases, and visit properties to ensure repairs and maintenance are completed in a timely fashion.
- Assist in the research of real estate comps, demographics, and statistics, and filing away findings in the Company SharePoint drive.
- Updating property rent rolls.
- Writing property performance reports.
- Assist in the preparation of marketing materials, brochures, and adds for apartments for lease across the variety of platforms units are marketed.
- Answer questions/resolve issues about amounts due to tenant transactions, and statements from tenants, owners, and vendors.
- Answering phones from prospective tenants calling 'for-rent signs.'
- Arranging for tours and touring prospective tenants through vacant apartments.
- Create charges on tenant ledgers as needed.
- Verify prospective resident information (email, phone number, place of employment, etc.).
- Preparing lease agreements and filing executed agreements in the Company SharePoint.
- Monitor rental increase timelines and prepare notices for tenants of increases in rent.
- Communicate with tenants to collect rents and other payments.
- Assist with creating and sending notices to vacate as directed by asset manager.
- Process new prospect rental applications and submit packet for approval to property manager lead.
- Assist with tenant surveys, move-in and move-out checklists.
- Attend and participate in training sessions as directed by management.
- Provide feedback for and participate in continuous improvement of procedures and processes.
- Running errands around Orange County, LA County, San Diego County.
- Using various software as they relate to the tasks at hand, including but is not limited to:
o Microsoft Office Suite
o Juniper Square
o Zillow Rental Manager
o Apartments.com Manager
o Multiple Listing Service (MLS)
- Other various adhoc administrative and property management duties as directed.
Experience:
- Previous experience in property management or related field preferred
- Excellent conflict management and problem-solving abilities
- Familiarity with property leasing processes and procedures
- Strong data entry skills and attention to detail
- Understanding of property maintenance practices and ability to coordinate repairs
