SPECIFIC INFORMATION
An operational management staff member provides administrative and logistical support for one or more operational processes in the PIOFAH (personnel, information systems, organisation, finance, ICT/administration and accommodation) domain. The staff member serves the mission as a whole and reports to the operational manager. The staff member understands how important good planning and clear processes are to the effective functioning of a mission. The staff member checks the progress of – and identifies delays in – the implementation of administrative processes and projects. The staff member is alert to mistakes and inaccuracies, and suggests corrections. The staff member knows the procedures and regulations, and within these parameters seeks pragmatic solutions in keeping with the context in which the mission operates. The staff member supports their colleagues, is available to deal with customers, and ensures effective coordination. The staff member complies with the official standards applicable within the organisation, and monitors the quality of services provided. Transparent and ethical conduct is a priority.
The general affairs officer coordinates and supervises the mission’s local domestic staff, and draws up the duty rosters. The general affairs officer supports the HR administration process. The general affairs officer keeps staff posted from The Hague informed about – and provides support concerning – accommodation matters. The general affairs officer deals effectively with the administrative and technical management of the chancery/residence/staff housing (including inventory), in accordance with existing procedures, and handles any related administration.

- Records are kept properly and in accordance with applicable rules, guidelines and agreements.
- Information is collected, checked, registered and processed in an effective and timely fashion.
- Problems are identified early on, reported to the appropriate person and followed up effectively.
- The staff member coordinates process-based arrangements, checks progress on completion of tasks and sends out reminders promptly.
- Requests for information about procedures, forms, administrative obligations, and organisational processes are followed up in a customer-friendly manner.
- Work files are created and updated.
- Instructing and supervising the mission’s local domestic staff.
- Staff posted from The Hague are provided with a reasonable and satisfactory level of support and information.
- Mission buildings and equipment/inventory are managed properly.

- Update and maintain the CRM Database.
- Events planning and support.
- Financial Adminstration; prepare invoices for payment.
- Incoming and outgoing missions support.
- Replace OM.
- Assist with Consular Affairs.
- Any other task as directed and required.

The General Affairs Officer / Management Support Officer reports directly to the Operational Manager, who is member of the mission management team and is member of the operational team, together with the consular affairs officer and the office manager of the NFIA.

C. WORK ENVIRONMENT
C.1
The Consulate General in Atlanta is a small (new) mission representing the Netherlands in the South east with 3 expatriate and 7 local employees; 1 local employee –beside the OM- support the CG and the Deputy CG in the economic team and one consular officer. 1 expatriate is an attaché and four local employees officers are working in the NFIA team. The geographic jurisdiction of the mission extends to the states Alabama, Georgia, North Carolina, South Carolina and Tennessee. In this jurisdiction the CG is supported by 2 honorary consuls. The mission is part of a broader network in the US, consisting of the embassy in Washington DC, 5 CG’s in New York, Chicago, San Francisco, Atlanta and Miami as well as a Netherlands Business Support Office (NBSO) in Houston and Los Angeles.
The role of the CG is primarily focused on economic diplomacy, trade and investment promotion. Consular support to Dutch citizens, cultural and political as well as public diplomacy work are also relevant tasks for the CG. Local employees are functioning with a large degree of independence. They are responsible for the development and implementation of policies in their priority area(s) and are held accountable for the results they achieve. Staff members will have to provide back-up for each other; flexibility and cooperation are necessities. The atmosphere is good and informal; the One Team mentality is part of our DNA.
