Fremont School District 79 is seeking an Elementary School Receptionist.
REPORTS TO: Principal
QUALIFICATIONS:
- High School Diploma
- Relevant experience in a school setting is preferred
POSITION SUMMARY:
The Receptionist is the friendly face and first point of contact for the school. This position is responsible for greeting and directing visitors, parents, students, and staff in a warm and professional manner. The Receptionist ensures efficient front office operations by answering incoming calls, providing information, maintaining student records, and monitoring visitor access to uphold security protocols. They play a vital role in creating a welcoming and organized environment while providing excellent customer service to the school community.
PRIMARY RESPONSIBILITIES:
Reception Duties:
- Greet and welcome visitors, parents, students, and staff in a friendly and courteous manner.
- Answer incoming phone calls, transfer calls, and take accurate messages.
- Respond to inquiries and provide information about school policies, procedures, and events.
- Ensure compliance with the School Visitor Guidelines.
- Ensure the reception area is clean, organized, and well-maintained.
- Maintain accurate student sign-in and sign-out records for attendance purposes.
- Supervise unattended children who are in the front office.
Administrative Support:
- Assist with general office tasks such as photocopying, faxing, and filing.
- Maintain and update student records, attendance logs, and contact information accurately.
- Distribute and collect forms, permission slips, and other documentation from parents and visitors.
- Assist with scheduling appointments, meetings, and events for school staff and administrators.
Security and Safety:
- Ensure compliance with the School Visitor Guidelines.
- Issue visitor badges and ensure visitors follow school safety policies and protocols.
- Assist with emergency protocols, such as lockdowns or evacuations, as directed by school administration.
Transportation Support:
- Record transportation change notes from the attendance envelope
- Communicate transportation reports to appropriate personnel.
- Send correspondence to teachers for distribution to students in the afternoon.
- Maintains accurate transportation reports.
- Communicates with the transportation department for bus arrivals and departures.
Substitute Coordination:
- Welcomes substitutes and informs them of the details of their daily assignment.
- Assist with coordinating and scheduling substitutes as needed.
- Coordinate with school administration and personnel to ensure smooth transitions and coverage during absences.
Communication and Collaboration:
- Serve as a liaison between parents, visitors, students, and school staff, facilitating effective communication.
- Maintain a professional and courteous demeanor when interacting with diverse individuals.
- Collaborate with school staff to ensure smooth front office operations and address any concerns or issues.
Miscellaneous Duties:
- Receive and distribute mail, packages, and deliveries as necessary.
- Covers Health Office as needed.
- Maintain a neat and organized workspace.
- Perform other related duties as assigned by school administration.
SALARY INFORMATION:
- $20.20/hour - $25.70/hour
- 225 Day Work Year
