JOB SUMMARY This position manages the operation of a school office, manages a school budget, and serves as secretary to the principal. The position provides various support services for students, parents, staff, and the public; promotes positive public relations for the school and the district.
DUTIES AND RESPONSIBILITIES

Manages the operation of the school office. Provides secretarial support to the principal and assistant principals. Maintains appointment calendar; schedules meetings; types correspondence, staff evaluations, forms, memoranda, and reports; duplicates and distributes materials. May type and distribute staff bulletins and school newsletters; may attend building meetings and record meeting minutes.

Greets parents, students, and visitors entering the office and provides assistance; answers the telephone and responds to inquiries; screens calls for the principal; receives and distributes mail to administrators and staff members. Vets visitors and volunteers using the Safe Visitor System.

Monitors and maintains staff absence in Frontline. Reviews staff time sheets in preparation to send to payroll. Prepares payroll forms for additional hours worked by staff; arranges for substitute teachers when absences are unfilled in Frontline; greets substitutes and provides materials. Maintains various budgets for the principal. Receipts, deposits, balances, and dispenses general fund moneys through collection of student fees and fines and donations.

Establishes office procedures and provides lead direction to office support staff and makes arrangements for coverage during absences and overload situations. Dispenses district forms to building staff. May conduct regular meetings with building office staff to develop procedures, provide information, and solve problems. May train and supervise student assistants.

Maintains confidential records and files for staff and students such as staff emergency cards, student detentions, Child Protective Service reports, and staff evaluations.

Assists staff in coordinating printing and copying needs. Orders, inventories, and distributes all school supplies and equipment. May train staff in the operation of various office machines; may troubleshoot problems with office equipment and call for service as necessary; may oversee the printing of various forms.

Makes non-instructional decisions in the absence of administrators including decisions regarding emergency May have regular authorization to sign designated forms for the principal or vice principals.

Manages special projects and events. Oversees the building's two-way radio communication system. May assist in the Health Room when needed.

Inputs and maintains staff development courses in Performance Matters.

Acquires Interpreters for the needs of teachers and parents needing translation services.

Prepare, along with the Principal, and monitor ASB budget.

REPORTING RELATIONSHIP
Reports to building administrator.
WORKING CONDITIONS
Works in busy office environment; frequent interruptions; extensive computer use; required to deal with distraught or angry parents and students.
MINIMUM QUALIFICATIONS
Education and Experience
High school graduation or equivalent with three or more years of office experience preferably involving decision-making skills; experience working with adolescents and the public; computer experience; school district work experience preferred.
Allowable Substitution
Training in secretarial procedures or customer service experience may substitute on a month-to- month basis for one year of the required experience.
Knowledge, Skills, and Abilities
Knowledge of general secretarial procedures; knowledge of correct grammar, spelling, and English usage; keyboarding skills; skill in operating general office machines; ability to organize and set priorities; ability to work independently with minimal supervision; ability to coordinate work assignments from multiple staff members; ability to read, write, speak, and compute effectively; ability to oversee the, office, and clerical staff; ability to exercise independent judgement, remain flexible, and work effectively under pressure; ability to maintain confidential information; ability to interact with adolescents in a warm, confident manner; ability to establish and maintain effective working relationships with staff and the general public.
Licenses/Special Requirements
Ability to operate computers, general office equipment, and learn specific software programs.
SALARY: Salary is based upon the current 2023-24 NEOPA Salary Schedule Salary (Level I); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt.
WORK YEAR: 239 days per year, 8.0 hours per day
