Position Summary:
We are seeking a friendly and organized Front Desk Receptionist to provide exceptional customer service and manage the front office. The ideal candidate will have experience in a clerical or administrative role and possess strong communication skills. Essential Functions and Basic Duties
Assume responsibility for the effective performance of front office receptionist area.
- Answers, screens and forwards incoming telephone calls. Answers routine questions or directs them to appropriate personnel. Relays messages timely and accurately.
- Welcomes visitors at the front desk by greeting, directing and announcing them appropriately.
- Provides basic and accurate information in-person and via phone/email.
- Maintains security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, safety video presentations, safety glasses).
- Maintains telecommunication system, to include adding guests names to the lobby monitor when required.
- Follow established security protocols in case of emergencies or visits by federal or state agencies.
- Responsible for role call for front desk station during fire emergencies and/or drills.
- Responsible for opening and closing the lobby and phone system.
- Responsible for making announcements as required over the PA system.
Assumes responsibility for assisting Human Resources.
- Administers company suggestion program from receipt through notification of award.
- Produces new hire orientation packets
- Coordinates and orders new hire lunches
- Maintains the keys and logs for the company vehicles
- Coordinates vehicle maintenance with the Maintenance Department
- Maintains key card logs for the airport hanger.
- Assists with the Applicant Tracking System.
Assumes responsibility for establishing and maintaining professional working relations with applicants, visitors, callers, and business professionals.
- Receives and screens visitors.
- Receives employment applications.
- Assists with questions and problems courteously and promptly.
- Obtains and conveys information as needed.
- Maintains and projects the Company’s professional reputation.
Assumes responsibility for establishing and maintaining effective communication, coordination, and working relations with Company personnel and with management.
- Coordinates with related departments as required. Answers questions and provides assistance.
- Keeps management appropriately informed of area activities and of any significant problems.
- Attends and participates in meetings as required.
Assumes responsibility for related duties as required or assigned.
- Ensures work area is clean, secure, and well maintained.
- Types memos, letters and produces spreadsheets as required.
- Tracks HR data as required (environmental forms, handbook receipts, OJT forms, etc.)
- Stays well informed regarding company developments.
- Performs miscellaneous clerical functions and special projects as assigned.
Education/Certification
High school graduate or equivalent.
Additional related training preferred.
Experience Required
A minimum of two years of full-time related front desk receptionist responsibilities.
Two years or more of phone experience using a multi-line phone system – preferably on a Cisco phone system.
Stable employment record.
Required Knowledge
Basic understanding of receptionist, human resources, or office functions
Knowledge of related computer applications such as Microsoft Outlook, Word, Excel, PowerPoint, Publisher.
Skills/Abilities
Dependable - Excellent attendance record required.
Well organized.
Accurate and attentive to detail.
Excellent communications and public relations abilities.
Strong typing and demonstrated computer application skills.
Ability to assist and support others.
Able to operate telephone, PC, copier, and other basic business machines.

Physical Activities and Requirements of this Position
Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally.
