Basic Requirements:
To be a part of our team, you should meet the following requirements:
- Must be 18 years of age or older.
- Possess a high school diploma or equivalent.
- Ability to pass a background check and secure a WA guard card.
- No tattoos on the face, hands, or neck, and no visible offensive tattoos.
- Pass a pre-employment drug screening.
- Possess a valid driver's license and reliable transportation.
- Must have clean driving history.
- Have the physical stamina to stand or walk for long periods.
- Exhibit proficient reading and writing skills.
- Ability to commute across Puget Sound Region to various work sites.
POSITION QUALIFICATIONS

- Get and maintain a DOL Security Guard Trainer Certification
- At Least One Year of Military, Law Enforcement, and/or Security Experience.
- At Least One Year of Supervisory Experience.

POSITION DETAILS:
TITLE: Operations Manager
REPORTING TO: President
DIRECT REPORTS: All Security Guards of SSG
OFFICE: This position works from their residence with regular visits to the accounts and job sites.
HOURS: This position works flexible hours, is on-call 24/7, and fills in any empty shifts (no more than 30 hours a week) before overtime is assigned.
PRIMARY GOAL
(1) Ensure all (100%) contracted services are being provided (2) meeting/exceeding client expectations, and (3) in accordance with Company standards (4) for the purpose of future, sustainable growth.
POSITION OVERVIEW
This position is responsible for overseeing and managing the services provided by the Company, This position has the primary responsibility of working directly with the clients to ensure services exceed their expectations. To accomplish this, this position oversees the staff providing the services and daily workflow of accounts.
The Company’s approach to client/account management is 3-pronged to include: (1) A strong responsive relationship with our clients, (2) strong relationship with healthy accountability with the guards, and (3) ensuring the account itself is built for success with updated and accurate account instructions and guidance.
GOALS AND RESPONSIBILITIES
Maintain 100% client and account retention
- Building strong, long term relationships with clients and their representatives.
- Be responsive to any and all concerns, requests.
- Maintain a regular cadence of communication, both verbal and written, along with regular in-person meetings.
- Follow up and follow through on all requests and discussions, along with being proactive to solve potential challenges.
Ensure every account is built for success.
- Oversees daily workflow of accounts.
- Weekly check-ins with client job site PIC’s (person in charge).
- Conducts monthly surveys of one client PIC and/or manager at each site with a goal of 100% customer satisfaction. Prepares monthly survey report to accurately track scores.
- Responsible for making sure that post order manual and all other post and training information is being properly maintained and updated
- Maintains regular communication with client safety manager and notifies them of any significant situations (911 responses, safety hazards, maintenance issues etc.) at client sites.
- Daily, oversee, review and approve all security reports to be forwarded to the client safety manager for consumption.
- Responds to client or site emergencies as they arise, including ensuring appropriate communication to the President and client representative.
- Monitor and conduct vehicle routine maintenance (DOE on client and site).
Hire and retain the best (professional, positive attitude, and competent) security guards.
- Perform the entire new hire process:
- Prepare and post all new positions hirings ensuring the company always has more than enough employees to provide contracted services.
- Screen and provide feedback on all potential job candidates.
- Review resume and job posting response.
- Conduct initial phone screen, schedule and conduct initial in person interview.
- Perform final interview with President and provide hiring decision feedback.
- Conduct all pre-employment screening including drug test, background check and reference checks.
- New Hire Onboarding:
- Complete all new hire paperwork (job offer, expectations and policy sign offs).
- Add them to all software, applications, and programs necessary for them to provide security services.
- Issue new guards all necessary uniforms and equipment.
- Initial training, including, but not limited to:
- Oversee and/or provide state licensing training and requirements.
- Initial pre-assignment training, and OTJ training. Includes review of post orders, routine responsibilities, and how to respond to emergency situations or specific client needs.
- 90-Day New Hire Evaluation
- Set a calendar reminder 90-days out from the start date of each new security guard and provide a performance evaluation based upon their first 90 days.
Develop, supervise, and lead security team
- Responsible for supervising, motivating, coaching, training, and holding team members accountable
- Be responsive to officer concerns – follow up with meeting and in writing if necessary
- Available 24/7 to take officer phone calls and address concerns and provide direction.
- Be available 24/7 to respond in person to significant occurrences.
- Daily review and approve security reports to monitor activity and ensure incidents are handled correctly.
- Follow up with guards to clarify outcomes and ensure procedures were properly followed.
- Weekly “one on ones’ with each team member to build rapport, address concerns and performance, get a pulse of activity, and develop team members.
- Provide timely, specific recognition for exemplary service.
- Recognition should be based on team members exemplifying company values in support of company mission.
- Depending on the level of exemplary conduct recognition will escalate from verbal to written. As exemplary conduct increases recognition should be shared with the security team and/or made public.
- Ensures feedback and recognition are properly documented in personnel files and transferred to evaluations.
- Provide quick and accurate disciplinary action – address the issues
- Responsible for delivering verbal feedback in the moment(over phone, email, or in person) to officers. This applies to behavioral and performance based issues.
- May be responsible for administering more formal counseling or disciplinary actions (may not make or initiate such decisions on his/her own, but may execute such actions at the specific direction of the President).
- Responsible for making recommendations for counseling and/or disciplinary action, including termination.
- Ensures feedback and disciplinary actions are properly documented in personnel files and transferred to evaluations.
- Evaluations: Provide timely annual security guard and pay reviews.
- Evaluations should be an accurate reflection of prior feedback and documentation (exceptional, acceptable, and unacceptable performance).
- Take responsibility for company licensing and ensuring all guards are current, active and in compliance with State requirements.
- Equipment Management – Track Inventory: vehicles, radios, keys, cell phones, uniforms, etc.
- Ensure all guards look professional and are provided all company required uniforms.
- Plan quarterly team building exercises.
- Schedule and plan any advanced training required by account.
- Plan yearly training and/or any advanced training.
Oversee and manage the scheduling of all guards to ensure 100% coverage of all contracted shifts:
- Weekly, ensure the schedule is filled 3-weeks out, each Monday (The current week, along with the following 2-weeks).
- Fill with current guards and overtime if necessary.
- Hire additional guards to eliminate overtime.
- Lower guard overtime below the maximum of 10% through hiring as needed, scheduling, etc.
- Update changes and adjustments to schedule
- Manage schedule and ensure shifts are properly filled
- Fill in any shift shortages as necessary (maximum of 30 hours a week).
Manage and approve team payroll
- Bi-weekly, review, revise, and approve all guard payroll hours.
- Communicate with officers ahead of pay period to ensure hours are accurate.
- Provide a bi-monthly report on overtime, unfilled shifts, etc.
- Monthly, prepare a business report within 10 days of month end for the President to include: Overtime, dead hours, customer satisfaction score, account incidents, hiring, etc.
Conduct and facilitate all company meetings:
- Daily check in with the President to address any concerns.
- Weekly meet with each guard and a PIC and/or manager at each client location.
- Monthly, at minimum, meet with each client or client representative a minimum of once per month.
- Weekly meeting with the president providing a weekly overview of clients, guards, and accounts, along with the current week’s goals.
- Provide status of shifts, overtime, and plans for the following week.
- Quarterly, set aside 2-4 hours to discuss and define the goals for the business over the next quarter.
- Annually, Set aside 4-8 hours to discuss and define the goals for the business, the positions, and its growth over the next year.
Help grow the business through profitable revenue growth
- Work with and for current clients to include expansion of current services.
- Become a resource your clients want to refer to other potential clients.
- Be willing to meet and present services to potential new clients.
- Provide proposals to client referrals.
Additional responsibilities
- Report any items above and beyond normal operation to the President.
- May respond to work alongside security team for special emphasis patrols
- Perform any and all duties to ensure an effective successful operation.
- Develop business systems, and company policies and save in the Company’s operations processes and procedures guide.
COMPENSATION
As this position is new for our company, we hope to build a position that grows with the business and therefore provides a compensation plan that does as well.
SALARY: $4,500 PER MO (Paid twice per month in accordance with normal company payrolls. Reviewed annually to consider cost of living increase).
BONUS: This position will receive a monthly bonus focusing on the following criteria; dead hours, overtime, and a monthly customer satisfaction survey. Maintaining 100% filled hours for each contract, keeping overtime hours under 2.5%, and maintaining a 5 out of 5 customer satisfaction rating. (This bonus will be paid monthly on the second payroll following the month in which it occurred). $1020 total monthly bonus if criteria achieved.
