Property Management and Real Estate Company is looking for a full time Receptionist /Administrative Assistant to join our team, this individual will provide support to the property management department, and will be reporting directly to the Director of Property Management. The position will provide learning curves and challenges within the Property Management and Real Estate business.
The ideal candidate for this position is an individual that presents well with excellent communication skills both verbal and written, advanced customer service skills, and has the ability to work independently and also as a team member. Our receptionist must be able to answer inquiries and provide information to the general public, customers, visitors, vendor and other interested parties. Candidates must be computer savvy, be able to navigate a property management system. Communication is key and hard work is rewarded.
Essential Position Responsibilities
· Assist Director of PM with repair request.
· Assist Director of PM with preparing data for rent increases.
· Assist with preparing resident correspondence.
· Ability to have great follow thorough and follow up on relevant information required.
· Track information changes and updating database.
· Audit and verify information.
· Handle sensitive and confidential information.
· Must be flexible and able to meet multiple deadlines.
· Must be punctual, reliable, trustworthy, highly organized and a real multi-tasker.
· Strong excel/spreadsheet skills
· Contribute to team efforts by assisting where needed throughout organization, and other duties as assigned.
Skills
· Proficient in office work: filing, faxing, data entry, organization
· Excellent written and verbal communication- specifically customer service
- Strong information technology skills required, Adobe and Yardi preferred.
- Must be very proficient in Microsoft Office— Excel, Word, PowerPoint with advanced skills, and ability to do formulas and mail merges.
- Quick learner
- Excellent at multi-tasking, organization, meeting deadlines and ability to work without close supervision.
- Work efficiently, accurately, pay attention to detail, and be able to proof work for error.
- Must be able to handle clients on the phone, and be able to work with a myriad of different personalities.
