POSITION DESCRIPTION
Position Title: Administrative Parts and Service Assistant
Department: Parts and Service
Reports to: Service Manager
Key Results Area:
- The Administrative Parts and Service Assistant will contribute to the achievement of the Parts and Service
Department revenue, profitability, customer satisfaction and employee engagement through the following activities:
➢ Performs administrative duties with little supervision and routinely exhibits “Above the Line” behavior.
➢ Publishes all reports on time and error free.
➢ Improves practices and procedures in the Parts and Service Department.
➢ Continually increases his/her knowledge of the business.
➢ Meets internal and external customer requirements and exceeds their expectations.
Duties and Responsibilities:
- Responsible for learning the Bry-Air product line and processes in order to answer customer questions in a timely and effectively manner.
- Communicates directly with customers via email and phone regarding new and existing orders and provides updates as needed.
- Uses professional oral and written communication skills and best practices in customer service when interacting with customers.
- Enters orders in JobBoss and sends order confirmations to internal and external customers.
- Sources new sales opportunities through inbound lead follow-ups as well as outbound cold calls and emails.
- Creates electronic files for all order acknowledgements.
- Strives to understand customer needs and requirements in order to provide exceptional customer service.
- Assists in training new hires for the Parts and Service Department.
- Attends weekly OMD meetings as well as quarterly service meetings.
- Creates and sends reports regularly, including the Parts and Service weekly sales report, warranty report, forecast, and open orders report.
- Assists with scheduling service visits based on customers' needs and updating the service calendar as necessary.
- Works directly with the Purchasing Department to ensure accurate pricing and lead times for all parts.
- Coordinates with the Shipping Department to ensure Parts and Service orders meet the promised date provided to the customer.
- Assists the Service Manager with miscellaneous duties as necessary.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
