Summary: Responsible for professionally greeting clients and ensuring an orderly and efficient check-in process. Responsible for acquiring financial and insurance information from client or guardian and performing data entry of information into electronic health records. Responsible for providing administrative support services to achieve the goals of the Southern Counties. Provides basic clerical support in the form of answering phone calls, rescheduling clients and directing visitors. Responsible for creating and maintaining telehealth connections between clients and providers.
Essential Duties and Responsibilities:

Coordinates and schedules client appointments
- Conducts referral and intake interviews with client
- Enters and updates electronic health records
- Verifies client insurance prior to appointments and enters funding sources following company procedures
- Conducts Insurance Pre-certifications
- Requests records from other facilities to ensure continuity of care
- Communicates with outside agencies regarding the provision or scheduling of services
- Collects payments from client, providing proper receipts and securing the funds
- Disburses and reconciles Petty Cash
- Maintains and disburses company credit cards, collects and submits receipts
- Provides administrative clerical support to the Office Coordinator and County Director
- Operates the telephone to forward calls or take messages as appropriate
- Greet persons entering the building, determine nature of visit and notify appropriate staff of their arrival
- Connects client to teletherapy/telehealth portals
- Completes Q-note documentation as needed
- Maintains training compliance as required by Westbrook Health Services

Education/Experience: High school diploma/GED; prior computer/PC experience is required. Experience with electronic health records preferred. Must pass Criminal Investigation Background and DHHR Background Checks
Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Mobility and ability to sit for long periods of time, use a standard computer keyboard and telephone are required functions as well as being able to stand and walk short distances. Ability to bend, reach and lift up to10 pounds regularly and 20 pounds occasionally are required for this position
