Overview:
We are seeking a dedicated Personal Assistant to support our General Manager in efficiently managing daily tasks and providing administrative support within our cannabis manufacturing and distribution center. The ideal candidate should possess strong organizational skills, attention to detail, and excellent communication abilities, along with knowledge of METRC (Marijuana Enforcement Tracking Reporting Compliance) and a familiarity with the cannabis industry.
Responsibilities:
- Manage and maintain the General Manager's schedules, appointments, and travel arrangements.
- Handle incoming calls, emails, and other communications with professionalism and discretion.
- Perform clerical duties such as data entry, filing, scanning, and document preparation.
- Coordinate meetings and prepare necessary meeting materials.
- Assist in managing calendars and scheduling appointments.
- Provide administrative support including preparing reports, presentations, and correspondence.
- Maintain confidentiality of sensitive information.
- Ensure compliance with METRC and other relevant regulatory requirements.
- Assist with inventory tracking and reporting using METRC.
- Stay informed about industry trends and updates to ensure compliance and best practices.
Experience:
The ideal candidate should have experience or skills in the following areas:
- Proficiency in phone systems and handling calls with proper etiquette.
- Strong typing skills for efficient data entry tasks.
- Calendar management to organize appointments and events effectively.
- Experience as an administrative assistant or clerk, preferably in the cannabis industry.
- Familiarity with DocuSign for electronic document signing.
- Excellent customer service skills to interact professionally with clients or visitors.
- Proficiency in Outlook Calendar for scheduling and coordination.
- Knowledge of METRC and compliance requirements in the cannabis industry.
Qualifications:
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- Proven experience as a Personal Assistant or relevant role.
- Familiarity with office management systems and procedures.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize daily workload.
- High level of discretion and confidentiality.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
