Cardinal Home Care, a rapidly expanding Home Care Agency in Virginia, is seeking to add another Scheduling Coordinator to join our team. The chosen candidate will be responsible for efficiently coordinating schedules for caregivers and clients, playing a key role in the smooth operation of our agency. This role demands strong organizational skills, attention to detail, and effective communication in order to match client needs with available caregivers while adhering to all agency policies and regulations.
Responsibilities:
1. Schedule Coordination:
- Manage and maintain the scheduling system to ensure accurate assignment of caregivers to clients based on individual needs, preferences, and availability.
- Utilize scheduling software or spreadsheets to create and update caregiver schedules on a daily, weekly, and monthly basis.
- Adjust schedules as needed to accommodate client requests, caregiver availability, and unexpected changes in staffing.
2. Client Communication:
- Serve as the primary point of contact for clients regarding scheduling inquiries, changes, and concerns.
- Communicate effectively with clients to understand their preferences, requirements, and any special instructions for caregiver assignments.
- Provide timely updates to clients, care managers, and or facilities regarding changes in schedules or caregiver assignments.
3. Caregiver Coordination:
- Liaise with caregivers to assess availability, preferences, and skills to match them appropriately with clients.
- Coordinate caregiver training, and orientation as needed in collaboration with the Human Resources department.
- Ensure caregivers are informed of their schedules, including any changes or additions, in a timely manner.
4. Documentation and Record-Keeping:
- Maintain accurate and up-to-date records of client schedules, caregiver assignments, and any changes or updates.
- Complete necessary documentation related to scheduling, including mileage logs, and client care plans.
- Ensure compliance with all relevant regulations and agency policies regarding record-keeping and documentation.
5. Problem Solving:
- Proactively identify and address scheduling conflicts, staffing shortages, or other issues that may impact client care.
- Collaborate with management, caregivers, care managers and other staff members to find solutions to scheduling challenges and ensure continuity of care for clients.
6. Quality Assurance:
- Monitor caregiver performance and client satisfaction through regular feedback and evaluations.
- Identify opportunities for improvement in scheduling processes and implement solutions to enhance efficiency and effectiveness.
- Participate in quality assurance initiatives and compliance audits to uphold agency standards and regulatory requirements.
7. Qualifications:
- High school diploma or equivalent.
- Prior experience in scheduling, administrative support, or customer service roles, preferably in a healthcare or home care setting.
- Proficiency in computer skills, including experience with scheduling software, Microsoft Office suite, and electronic health records systems.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, caregivers, and colleagues.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Knowledge of relevant regulations and compliance requirements related to home care services is desirable.
- Ability to maintain confidentiality of sensitive information and adhere to ethical standards in handling client and employee data.
8. Working Conditions:
- This position typically operates in an office environment within a home care agency, with occasional interactions with clients and caregivers in their homes or healthcare facilities.
- Work hours are typically set for Monday through Friday, unless our on-call scheduling coordinator is away then we would need assistance with evenings, weekends, and or holidays to accommodate scheduling demands and emergencies.
- The role may involve occasional travel within the local area to attend meetings, or client visits.
The Scheduling Coordinator plays a critical role in ensuring the delivery of high-quality home care services by effectively managing schedules, coordinating caregivers, and communicating with clients. This position requires a combination of administrative skills, interpersonal abilities, and a commitment to maintaining the highest standards of client care and satisfaction and are the face of the agency.
