Job Summary:
The Executive Assistant supports the GOYFF Cabinet Executive Officer (CEO) and GOYFF staff as directed by the CEO.
Essential Duties and Responsibilities:
Includes the following and other duties that may be assigned:
- Provide logistics and support in preparing materials and follow-up for all conferences, events, and Councils/Commissions
- Coordinate activities with other departments, agencies, community organizations, stakeholders, and business contacts
- Work with the Communications team to develop materials and binders for speaking engagements and other events
- Interact with constituents, stakeholders, and business contacts with courtesy and respect
- Serve as secondary staff in developing and maintaining the AMS deliverables
- Engage and participate in the Arizona Management System (AMS) process
- Develop and modify procedures to improve the effectiveness of the office
- Provide administrative support for the CEO's travel and site visits
- Screen and route calls and correspondence for the CEO
- Coordinate meetings and events on the CEO's calendar
- Coordinate speaking requests for the CEO
- Develop briefing documents
Knowledge, Skills & Abilities (KSAs):
Knowledge:
- Knowledge of public meeting processes and procedures
Skills:
- Skilled at organizing work tasks, meeting deadlines, and producing accurate and complete work products, including research-based documents
- Computer software experience, including Word, Excel, PowerPoint, and Google Workspace
- Capacity to work independently and as part of a team to accomplish common goals
- Must possess excellent oral and written communication skills
Ability:
- Ability to work independently, exercise decision-making skills, and be self-directed and motivated
- Excellent organizational abilities
Educational Requirements:
- Bachelor's (BA or BS) degree or equivalent required
