Our client, a dynamic and fast-paced organization, is seeking an experienced Senior Administrative Coordinator to support a Vice President and ensure smooth and efficient operations within the department. This is a full-time, hybrid role located in Manhattan and is a confidential search.
Key Responsibilities:
- Provide high-level administrative support to the Vice President, ensuring they remain on track with daily activities and long-term goals.
- Manage logistics for meetings, including meeting agendas, tracking action steps and to-dos, following up with team members on statuses, and keeping detailed records.
- Oversee project tasks, track the status of activities, and communicate effectively with all involved parties to ensure timely completion.
- Coordinate and manage significant calendar activities, scheduling, and meeting planning.
- Develop and manage project plans using Monday.com or similar project management software.
- Exhibit strong thinking and cognitive skills to handle complex tasks and anticipate the needs of the Vice President.
- Take initiative in managing tasks, problem-solving, and ensuring the Vice President’s efficiency.
- Draft correspondence on the Vice President’s behalf.
- Ensure excellent written and verbal communication within the team and with both internal and external partners.
Qualifications:
- Bachelor’s degree required or equivalent experience.
- Minimum of 5+ years of experience in a similar role.
- Demonstrated experience supporting a VP or higher-level executive.
- Proven ability to manage complex schedules and logistics.
- Strong project management skills, with experience in Monday.com or similar software preferred.
- Exceptional written and verbal communication skills.
- Experience working in a mid-to-large size (400 or more employees) professional services, professional nonprofit or corporate environment.
- Solid job tenure, with experience in fast-paced environments.
- High level of initiative and proactive approach to tasks.
The anticipated salary range for this position is $75,000 - $80,000 annually.
