Position Summary
As a Project Specialist, you will play a pivotal role in the Global Delivery team, contributing to the seamless execution and success of all projects. Your responsibilities encompass a collaborative and multifaceted approach, working closely with various workstreams across the organization, including Operations, Brand/Creative, Product, People, and Growth. You will be instrumental in ensuring that projects are meticulously set up for success, fostering a collaborative environment among diverse teams and regions. Your expertise will extend to managing project timelines, coordinating resources, and providing support throughout the project lifecycle. By working alongside cross-functional teams, you will contribute to the effective alignment of project goals, ensuring that deliverables meet the highest standards of quality and align with organizational objectives. Your ability to navigate complex project landscapes and drive successful outcomes will be critical to the overall success of the Global Delivery team.
Travel Requirements = 20-25%
Requirements:
Bid Design Management (Travel Requirement = 10%)
- Support all Escape Lounge bid “design and concept” requirements across our regional network (AMER, EMEA, APAC)
- Plot the bid timelines, briefing in the Brand, OPS and architect team (Jacobs or SHH) when appropriate
- Managing the end-to-end deliverable from the Brand and architect teams, ensuring deliverables are meeting
timeline, within project scope and are meeting the bid “design” requirements.
- Organize and manage regular meetings relating to the lounge design
- Manage the creative brief process to ensure the document production is seamless and timely; act as the bid budget
owner for all design deliverables
- Support content development, and document production
- Work with all relevant workstreams to ensure strong collaboration
Escape Lounges Delivery Management (Travel Requirement = 10-15%)
· Ensure successful delivery and project execution of new lounges, midterm, and remedials from to launch across the global network. · Manage key milestones for cross-functional teams, including Legal, Finance, Creative, Design, Construction, IT, Growth, Trade, and Strategy, while managing all delivery milestones. · Lead project design development with architect team · Lead project development with IT on CCTV ensuring contractor and CAVU team are in-sync on expectations · Manage all pre-launch activities for new lounge sites and t-minus planning with all relevant stakeholders. · Ensure Monday.com program boards and project boards are accurate; serve as Workboard liase to ensure OKRs are tracking and monthly updates performed · Organize and maintain the involvement of brand and marketing into the lounge design & development · Review external vendors/supplier invoicing and submit for processing; liaise with AP/Treasury for project payment inquiries as a primary point of contact for all Capex billing.
Design Program
- Submit, track, and review all required Creative briefs for Delivery projects
- Understand lead-times and prioritize project briefs as required
- Host weekly meetings to review current and future projects to promote project visibility with the brand,
marketing and creative workstreams
- Manage the brand design planning in lounge projects between Architect team & Brand team
- Lead the coordination of the Benchmarking program between Jacobs and internal CAVU workstreams
- Collaborate with the Jacobs team and CAVU Brand team to evaluate and define our Escape Brand Principles
- 4+ years of supporting/coordinating Foodservice, Construction/Facilities or Multi-team projects
- 3+ years of invoice management; budget report analysis
- 3+ years of using Project Management Systems – Monday.com, Asana, Workboard or similar
- 2+ years of creative development & planning Skills
- Self-Starter
- Organized, Motivated
- Excellent verbal and written communication skills
- Strong problem-solving skills and analytical abilities
- Willingness to collaborate with team members across the organization and regions Qualifications
- Proficient in Microsoft Office and Teams
- Experience with Adobe Illustrator
