Guest Relations Specialist- Shasta Industries
We are on the search for a new member of the team to join as a Guest Relations Specialist. Our culture is built upon developing long term relationships with all of our clients, subs, vendors, and employees, so interested candidates should be team oriented and looking for a long-term role.
We are looking for a Guest Relations Specialist to join in on the fun in our New Pools Sales Department. The ideal candidate will have customer service and call center experience.
Job Summary
The Guest Relations Specialist plays an integral role in providing professional and effective communication with customers by directing incoming sales leads from multiple sources in a professional and friendly manner to the sales team. The Guest Relations Specialist will consistently display friendly and compassionate customer service skills while effectively handling multiple prospective customer accounts.
All Guest Relations Specialists must understand the significance of their role and how they can positively impact external customers. Pro-active, friendly communication will be expected at all times, as well as anticipating customer needs and desires
This position is responsible for prospecting new leads, making and taking calls, building relationships with potential clients, and improving our lead conversion rate. The purpose of the role is to set appointments for our sales team. The ideal candidate should be extremely comfortable on the phone and with computers.
The Guest Relations Specialist will be responsible to:
- Make daily contact with potential customers who have inquired about a new pool build and schedule the first appointment consultation with the sales department.
- Document customer contact through appropriate process while working closely with dispatch/scheduling personnel providing accurate information in a timely manner.
- Track daily work productivity for reporting to be provided to Division Manager at the end of each or following business day.
- Communicate with the Design Centers regarding schedules, events, and lead activities.
- Answer calls and assess the needs of the callers and direct them to the appropriate departments.
- Setting appointments with Sales Designers for callers who are interested in constructing a new pool.
- Provides clerical support for emails and home show follow-up as needed.
- Attend all mandatory trainings, general staff and department meetings as directed.
- Contact all incoming leads in a timely manner based on department goals.
- Build rapport with prospects and be able to qualify leads.
- Update logs and reporting systems to reflect the status of all potential new customers.
- Conduct potential new customer calls with genuine empathy and compassion.
- Performs other duties as assigned by Division Manager.

We are seeking someone with:
- Minimum of 3 years customer service and data entry experience.
- Excellent data entry and PC skills, proficient with MS Office (Word/Excel). Experience with Outlook (Email)
- Excellent phone etiquette, strong interpersonal, communication and customer service skills to convey a positive, professional image with internal and external customers.
- Manage the data integrity of the DBX and PPB system by frequently checking both systems and follow up on canceled appointments to schedule an appointment with a Sales Designer
- Bi-lingual Spanish speaking- preferred.
- Detail oriented with strong organizational skills to handle multiple responsibilities
- Motivated, self-starter, quick learner, with excellent follow-up skills
- Flexible and adaptable with the ability to work independently with minimal supervision to effectively use resources to complete tasks and resolve issues.

· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
