Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator Assistant to join our team. As an Office Administrator Assistant, you will be responsible for managing administrative tasks, providing excellent customer service, and ensuring the smooth operation of our office. This is a full-time position.
Duties:
- Perform general administrative duties such as answering phone calls, responding to emails, and managing correspondence
- Greet visitors and direct them to the appropriate person or department
- Manage Accounts Receivable reports, sending statements, follow-ups, collecting and processing payments.
- Coordinate and schedule appointments, meetings, and conferences
- Assist with document preparation, including drafting memos, reports, and presentations
- Handle confidential information with discretion and maintain strict confidentiality protocols
- Assist with basic bookkeeping tasks such as invoicing and expense tracking
- Provide support to other team members as needed
Qualifications:
- Proven experience in an administrative role, Accounts recievable preferred.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent communication skills, both verbal and written
- Proficient in using Google Suite (Docs, Sheets, Slides) and other office software
- Familiarity with phone systems and other office equipment
- Computer literacy with the ability to quickly learn new software programs
- Previous experience in front desk or customer service roles is a plus
- Experience in a medical office or as a personal assistant is preferred
