We are seeking a friendly, organized, and professional Front Desk Receptionist to join our IV hydration clinic. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service, managing appointments, and supporting the smooth operation of the clinic. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Client Interaction:
- Greet clients warmly upon arrival and assist with check-in procedures.
- Answer phone calls, emails, and online inquiries promptly and courteously.
- Provide information about services, pricing, and appointment availability.
- Handle client complaints or concerns with empathy and escalate to the appropriate personnel if necessary.
- Appointment Management:
- Schedule, reschedule, and confirm client appointments using the clinic’s booking system.
- Coordinate with medical staff to ensure appointments are efficiently managed.
- Notify clients of any changes or cancellations to their appointments.
- Administrative Duties:
- Maintain an organized and welcoming reception area.
- Process client payments and provide receipts.
- Keep accurate records of client interactions and transactions.
- Manage and order office supplies to ensure the reception area is well-stocked.
- Support Functions:
- Assist with client intake forms and ensure all necessary paperwork is completed.
- Maintain confidentiality of client information in accordance with HIPAA and clinic policies.
- Collaborate with other team members to support clinic operations.
- Technology Use:
- Operate and manage the clinic’s electronic health records (EHR) system.
- Use booking and payment processing software efficiently.
- Troubleshoot basic issues with office equipment and software.
Requirements
- Education and Experience:
- High school diploma or equivalent; additional education or certification in office administration or customer service is a plus.
- Previous experience in a receptionist or customer service role, preferably in a healthcare setting.
- Skills and Competencies:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with EHR systems.
- Professional appearance and demeanor.
- Personal Attributes:
- Friendly, positive attitude and a passion for providing excellent customer service.
- Ability to remain calm and efficient under pressure.

Working Conditions
- Environment: Work is performed in a clinical setting.
- Schedule: part-time, with occasional Saturday as needed.
- Physical Requirements: Ability to sit for long periods, stand, and walk as necessary. Must be able to lift and carry office supplies and equipment as needed.
