Role Overview
The Office Administrator will play a pivotal role in ensuring the smooth operation of our office. This position is ideal for a highly organized individual who can handle multiple tasks and prioritize effectively. The role includes supporting the efficient onboarding and management of staff and subcontractors. The Office Administrator will be responsible for various administrative tasks, from managing communications and office supplies to coordinating with external partners and maintaining our social media presence. Key Responsibilities
1. Sub-Contractor and New Hire Onboarding
- Onboard Sub-Contractors: Assist in the onboarding process of new subcontractors, ensuring all documentation and agreements are completed.
- Onboarding New Hires: Facilitate the onboarding process for new employees, providing them with the necessary information and resources to start their roles effectively.
2. Human Resources Support
- Preparing Offer Sheets: Draft and prepare offer sheets for new hires based on the provided templates and guidelines.
- Collecting Employment Forms: Gather and process W2’s, I9’s, and other essential employment documents from new employees.
- Process Written Warnings and Terminations: Assist in preparing and processing documentation for employee warnings and terminations as per company policy.
3. Recruitment Support
- Placing Ads and Setting Up Interviews: Post job advertisements on relevant platforms, schedule interviews, and coordinate with candidates.
4. Office Operations
- General Office Maintenance: Ensure the office environment is clean, organized, and fully stocked with necessary supplies.
- Answering Phones: Manage incoming calls to the office, providing information or directing calls as appropriate.
- Coordinate Deliveries: Oversee the receipt and coordination of office deliveries, with the ability to lift packages over 50 pounds if necessary.
- Order Uniforms: Manage the ordering and distribution of uniforms for employees and subcontractors.
5. Administrative Tasks
- Maintain Ongoing To-Dos: Track and manage ongoing tasks from business correspondence, ensuring timely completion and follow-up.
- General Tasks from ownership: Assist with various ad-hoc tasks as directed by GM, supporting the overall needs of the business.
6. External Relations
- Manage Relationship with L&I and DOR: Maintain positive and professional interactions with Labor & Industries and the Department of Revenue, ensuring compliance and addressing any issues promptly.
7. Social Media and Prospecting
- Social Media Maintenance: Regularly update and manage the company’s social media profiles, ensuring engaging and relevant content is posted.
- Prospecting: Identify and develop leads for potential new business opportunities through networking and research.
Skills and Qualifications
- Education: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Experience: Previous experience in an administrative or office support role, preferably in a similar industry.
- Skills: Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency in using office software (e.g., Microsoft Office Suite). Ability to handle sensitive information with confidentiality. Comfortable with occasionally lifting packages over 50 pounds.
- Personal Attributes: Detail-oriented and proactive. Friendly and professional demeanor.o Ability to work independently and as part of a team. Strong problem-solving skills.
Working Conditions
- Environment: Primarily office-based with some physical activity required for handling deliveries.
- Hours: Typical business hours with some flexibility depending on the needs of the office.
