We are a growing NY-based firm looking for a Property Manager to manage and maintain a affordable housing properties in the Bronx.
Purpose
The Property/Resident Manager will be responsible for modeling a concierge experience throughout the building. This role is the connective node between the tenants, staff, and subcontractors operating in the residence.
Essential Duties and Responsibilities:
· Participates in the screening and leasing up of tenants and support the move-in process.
· Overseeing and managing all day-to-day operations throughout the property including office, tenant and subcontractors.
· Coordinate with Tenant Coordinators, to ensure on-time collection and completion of all annual resident certifications.
· Accountable for collection of rents and all monies on site including scanning of checks via Yardi and bank deposits.
· Reviews Aged Receivables report regularly and follows up with residents on outstanding balances; outstanding balances to be reported immediately to property owners.
· Monitor and provide direction to contracted safety and maintenance vendors to ensure compliance with contract expectations. Meet with the vendors regularly to discuss issues, concerns, and on-going resident, tenant coordination and facility needs.
· Works in conjunction with maintenance staff on the administration of work order requests, including entering work orders into Yardi, dispatching to staff, monitoring completion, and following up to ensure resident satisfaction.
· Together with the Maintenance Director, responsible for generating the preventive maintenance schedule for the maintenance staff.
· Monitors all violations (HPD, DOB, FDNY) utilizing the Jack Jaffa portal and works with the maintenance team and senior management to resolve, preparing necessary paperwork and/or completing e-certification to clear violations. Tracks status of all open violations.
· Ensures Safety teams are properly completing their assigned duties, including but not limited to incident reporting, rounds, logbook entries, creating a concierge tenant experience.
· Conduct coordinated apartment inspection to address routine wear and tear, making certain preventative measures are in place to safeguard the integrity of the building. Assist in scheduling and conducting fire drills.
· Maintain positive relations and open dialogue with property owners, tenant coordinators, subcontractors and community. Follow up on and track tenant or staff grievances, ensuring all concerns and follow ups are documented.
· Responsible for ensuring the office, community spaces and vacant ready apartments are “market ready.” Must have an awareness of the “curb appeal” of the property.
· Reports any unusual circumstances, property loss or liability related incidents and work-related injuries involving the residents, property or personnel to the property owner immediately.
· Maintain positive relations and open dialogue with property owners or administration managers and staff; follow up on tenant or staff grievances, ensuring all concerns and follow ups are documented via email.
· Review feedback from inspections from City and State compliance mandates such as DOB and HPD and other government authorities regarding identified deficiencies with building ownership to establish a plan of correction with target completion dates.
· Thorough knowledge of lease terms, specifications, and all community policies.
· Must strictly observe Company policy on delinquent rents and other non-compliant lease violations. Assist with filing evictions in accordance with Federal, State, and local laws.
· Reviews all invoices for the site and approves or rejects in accordance with proper GL coding, annual budget, and confirmation of work completion.
· Assists senior management staff with preparation of monthly financial variance reports.
· Perform administrative assistant functions including but not limited to: record keeping, filing, data entry, maintain and replenish supplies, and other essential needs as required.
· Manages work duties, develop schedules for and ensures coverage on all shifts, and provide direct supervision to Assistant Property Managers.
· Prepares/Conducts Appraisal Evaluations in a timely and thorough manner.
· Provides emergency shift supervisor coverage as needed.
· Plan and execute resident events and functions.
· Respond to emergencies as expected.
· Capable of learning new concepts quickly
· Other duties as assigned.

MiNIMUM QUALIFICATIONS:
· Strong customer service skills
· Skilled in leading, motivating and evaluating the performance of team members and subcontractors.
· Experience in commercial and/or residential security services
· Experience in working with various populations that interface with universal supports such as public assistance, homelessness, and vouchers, mental and behavioral health supports.
· Job-related skills, including language, mathematical/budgeting, and reasoning (analytical) skills: Knowledge of office systems; MS-Office preferred and the ability to master required electronic systems (such as Yardi, Outlook, Teams, Rent Prep, etc.)
· Superior attention to detail.
· Intellectual, creative, and/or communication abilities:
· Excellent written and oral communication, and organizational skills.
· Must have incredible initiative, the ability to work well under pressure, and the ability to work both independently and as part of a team to complete complex projects in a fast-paced environment.
· Strong leasing skills
· Must be adept and comfortable with crisis management.
· Bachelor’s Degree or two (2) years of completed college course work preferred.
· Three (3) years of supervisory experience:
· In addition, must maintain active status of Security and Fire Safety Coordinator Licenses. Must possess a valid New York State Driver’s license.
