Facility Manager / Job Description

ABOUT THE POSITION
ULC seeks a part-time Facility Manager to manage the church’s building and grounds (the “facility”). Scope of responsibility includes day-to-day management and operation of the facility, including maintenance and repair, security, tenant relations, event planning and support, and business development for rentals.
Reporting to the Pastor, the Facility Manager works with staff and volunteers to ensure a clean, safe, and community-oriented environment for church members and guests. The Facility Manager serves as liaison to ULC’s tenants and rental event clients and coordinates with entities involved in capital improvement projects. Event-related duties include marketing and sales, event planning, and day-of-show event coordination. Some evening and weekend hours are required.
ESSENTIAL FUNCTIONS / DUTIES
Manage Building
- Be responsible for the smooth and efficient operation of ULC’s facilities.
- Ensure presentable condition of building exterior and site, and all program spaces, lobbies, restrooms, and kitchens. Support and coordinate the work of ULC custodial staff. Manage cleaning and maintenance as necessary to keep the facility in a continuously event-ready state. This management may at times include interacting with the unhoused community in our neighborhood.
- Articulate and enforce ULC policies and regulations to building tenants, renters and users.
- Support the development and implementation of security policies, protocols and procedures, with the goal of maintaining the security of the facility and personal safety for all building occupants. Operate and maintain building access control and surveillance systems.
- Coordinate and train building occupants in preparation for emergencies and alarms.
- Operate and oversee maintenance and repair of building systems, including HVAC, plumbing, and electrical systems. Prioritize sustainability in building operating decisions.
- Manage data systems, including data network, data storage, backups, computing equipment including computers and other digital devices. Engage as needed with tech consultants and contractors.
- Manage the annual building maintenance and repair budget. Consult with Pastor and lay leaders in preparing the annual facility budget, and report the facility’s financial status.
- Track utility usage and coordinate tenant utility assessments according to lease terms.
- During capital improvement projects, act as Owner’s Representative in dealing with consultants, contractors, subcontractors and suppliers.
- Pay property expenses, including taxes and license fees, permit fees, insurance premiums, maintenance costs, utility payments, and contractor billings. Coordinate as necessary with ULC bookkeeping personnel.
- Actively engage in work with a positive attitude as a member of the ULC team. Ensure that all interactions are culturally responsive, respectful, and based on a foundation of ULC’s commitment to inclusion, diversity, equity, and accessibility.
Manage Tenant Relations
- Maintain tenant satisfaction. Conduct routine schedule of check-in meetings with tenants, and respond in a timely manner to tenant concerns and requests.
- Collect tenant rent and utility payments, and enforce terms of lease agreements.
- Track tenant lease status, report expiring leases, support process for signing new tenants, and negotiate leases and lease renewals.
Manage Rentals
- Develop and implement marketing plan to promote ULC facilities for rental by appropriate event producers, nonprofit organizations, educational institutions (especially UW administrative and academic departments), student organizations, wedding coordinators, etc.
- Meet potential renters and event producers, showing them the facilities and screening/assessing their applications in accordance with ULC renter policies.
- Prepare written proposals for event rentals, including rental terms, personnel and equipment charges, and specific event logistics.
- Staff and/or coordinate staffing of all renter events.
Manage Events
- Coordinate with ULC staff and lay leaders to support weekly and seasonal worship activities and special congregational events.
- Provide regularly scheduled briefings to the Pastor and lay leaders on scheduled or anticipated events, anticipated maintenance and repair activities, and advance planning for future events.
- Plan and coordinate security operations for specific events.
- Act as the primary day-of point of contact between ULC and event presenters, performers, and rental clients; set a professional and positive tone for all interactions.
- Coordinate production staff and volunteers for events. Expertly manage events with coordinated delegation of responsibilities.
- Take initiative and proactively coordinate event setup, execution, and break down / reset. Maintain high quality service and execution standards.
- Assist members of the public with special needs, including disabled persons. Facilitate day-of coordination of ASL interpreters, CART services, and hearing loop services as needed.
- Collaborate with technical staff to ensure proper set-up and a clear plan for the run of show. Assist with set up and troubleshooting as needed and able.
- Respond to emergency situations by determining and implementing an appropriate response with the support of ULC’s staff & volunteers.
- Conduct end-of-event walkthrough with clients, caterers, and staff, ensuring that all spaces have been returned to their pre-event state.
- Submit post-event report in a timely manner, providing comprehensive details about each important aspect of the event.
- Track payments from renters and coordinate with ULC bookkeeping personnel as necessary.
QUALIFICATIONS
- Minimum three years of experience in commercial/institutional building management and operation.
- Experience working with contractors and coordinating building improvement projects is desired.
- Experience in theater/event production, catering & food service, or related fields is desired.
- Excellent organizational, supervisory, and customer service skills and the ability to work quickly and independently, to think clearly under pressure, problem solve and prioritize needs, and to maintain a calm and friendly demeanor when dealing with the public. Experience with public speaking is a plus.
- Detail-oriented with the ability to take strong initiative as a leader but work well as a team member.
- Ability to follow instructions and communicate effectively with others in oral and written form.
- Familiarity with and ability to quickly learn new and updated software applications.
- Aptitude to learn basic audio-visual technology operation and lighting.
- Ability to maintain high-quality service and execution standards, including proper professional attire when working with rental clients, staff, and event attendees.
- Strong work ethic and solution-focused attitude. Must be receptive to constructive feedback and improve systems and setup on the fly.
- Open to community engagement.
- Must be able to work occasional evenings and weekends. Additional hours as dictated by event calendar.
- Ability to lift and carry up to 25 lbs., and work on one’s feet for several hours at a time.

- Wednesday 1:00pm – 9:00pm 8 hours
- Thursday 1:00pm – 9:00pm 8 hours
- Friday 1:00pm – 5:00pm 5 hours

COMPENSATION AND STRUCTURE
- Starting hourly rate is $32/hour D.O.E. The position is non-exempt
- Paid sick and safe time (PSST), per Washington State law and City of Seattle ordinance
- ORCA card benefits available for travel to and from shifts
- Additional hours available for event staffing, when staffing costs are covered by rental agreement. Overtime rates apply after 40 hours / week.
