Job Title: Receptionist
Overview:
The Figueroa Law Group, P.A. is a Melbourne, Florida law firm, who is seeking a friendly, organized, and customer service-oriented individual to join our team as an entry level part-time receptionist. As the first point of contact for our company, the Receptionist plays a crucial role in creating a positive impression and providing exceptional service to our clients, visitors, and employees.
General Description of Duties:
Under the direction of the Administrative Supervisor and Office Manager, the Employee will perform various tasks related to the administrative process:
- Conduct new client intakes
- Closely work with the Office Manager and Administrative Supervisor in preparing prospective clients and newly retained clients.
- Greet clients and visitors with a warm and welcoming demeanor.
- Organize and file administrative filing.
- Answer, screen, and direct phone calls to staff, take messages, and make calls on behalf of employees.
- Operate multi-line phone system.
- Review and understand Firm calendar.
Essential Job Functions:
- Greeting and Welcoming: Welcome visitors warmly and professionally, ensuring they feel comfortable and attended to from the moment they arrive.
- Answering Inquiries: Respond to inquiries from clients and the general public. Direct queries to the appropriate department or staff member and provide accurate information regarding company services, products, and operations.
- Managing Calls: Operate a multi-line telephone system efficiently, answering, screening, and forwarding calls as necessary. Take accurate messages and ensure prompt delivery.
- Scheduling and Coordination: Manage appointment calendars for the Administration department. Schedule meetings and coordinate conference room bookings, ensuring schedules are well-organized and conflicts are minimized.
- Administrative Support: Provide general administrative support to different departments as needed. This may include data entry, filing, photocopying, and handling incoming and outgoing correspondence.
- Maintaining Reception Area: Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., brochures, forms) stocked and readily available.
- Security and Access Control: Monitor visitor access and maintain security awareness.
- Handling Deliveries: Receive and sort daily mail and deliveries. Distribute incoming packages to appropriate recipients and ensure outgoing mail is promptly sent.
Requirements:
- High-School Diploma or equivalent
- 1-3 years of office experience
- 1-3 years of customer service experience
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Proficiency in Zoom and Microsoft Teams
- Proficiency in Adobe
- Professional appearance and demeanor.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Excellent time management skills and the ability to prioritize work
- Customer service-oriented attitude.
- Valid Driver’s License and access to transportation
- Background check required
Preferred Qualifications:
- Experience in the legal field a plus but not a requirement.
- Knowledge of administrative and clerical procedures.
- Experience with office equipment such as fax machines and printers.
- Bilingual in Spanish is a plus but not a requirement.
Working Conditions:
- Part-Time position (minimum 25-30 hours per week) Monday through Friday
