JOB TITLE: CLIENT SERVICES COORDINATOR
General Summary: To organize and manage services provided to designated clients from beginning to end of their project cycle while administering confident customer service within all facets of the Company’s client-related need. Manage and organize event and / or project for operations team to provide all necessary equipment and product to meet client expectations. Follow-up upon close of event and / or project for final needs, customer service, prepare files for appropriate billing, and create a reliable reference source for historical purposes. Function as a point of contact for the
Company’s portable / modular exhibit vendor. Periodic light to moderate travel is required. Job includes, but is not limited to, the following:
Essential Duties and Responsibilities:
1. Service Coordination for events and clients, includes:
- Managing and detailing projects and events, creating files (electronic and paper), letters, contracts, event profiles, floorplans, and account maintenance.
- Main communicator between client, facilities, show foreman, operations / warehouse / graphics production
- Communication and coordination of timelines to meet client and production needs.
- Document client touches for events and or projects creating clear and prompt record of exchange of information
- Originating work orders and change orders for assigned clients and projects
- Graphics liaison between assigned clients and graphics departments
- Invoicing details for rendered services and goods for assigned clients
- Company “point of contact” and responsibility for ordering all portable / modular exhibit items from vendor (e.g. Nomadic)
- Showsite Event Service Desk clerk – ensure smooth operations and a high level of customer service on specific designated occasions, at times functioning an exhibitor services clerk
2. Calling on new business opportunities. Calling on existing Valley Clients who have used Company services previously, to ask about previous work and about the possibility of performing services and / or providing product again - in an accountable and reportable process. This would include “House Accounts”.
3. Travel and long work hours, when necessary, to ensure show success.
4. Calling exhibitors to place orders and adding additional revenue for events.
5. Being assigned as an AE for cleaning clients. Assisting with onsite supervision and cleaning when requested. Assisting with cleaning supplies prep and delivery when requested.
6. Travel up to 30% of the time.
Responsibility will derive from projects originated thru previously sold pieces of business, incoming phone calls, walk-in clients, and previous clients that exist within a pre-determined level of business need.

Education and Experience: High school diploma plus 2 years of related experience.

Need to have very good decision-making and problem-solving skills. Every day decisions need to be made in the best interest of the company and the client. Also, you must be confident in your decisions you will need to make on the client’s behalf to everyone from the production staff to the service contractors.

Degree of Autonomy: Works under minimal supervision at the direction of the Director of Client Relations
