Job Title: Administrative Assistant
Overview:
We are seeking a meticulous and detail-oriented Administrative Assistant to join our team and play a crucial role within our organization.
Responsibilities:
Schedule meetings, appointments, and conference calls for executives and team members
Create, edit, and proofread documents, reports, and presentations
Maintain accurate records, both physical and digital, ensuring proper filing and organization
Address all inquiries and promptly and professionally, whether through verbal communication or written correspondence.
Understand when to use verbal communication (such as phone calls or face-to-face interactions) versus written communication (such as emails or memos) based on the context and urgency of the situation
Enter data into spreadsheets, databases, and other systems
Compile and analyze data to generate reports and summaries
Assist in planning and organizing company events, workshops, and seminars
Coordinate logistics, invitations, and RSVPs
Proofread documents for accuracy, consistency, and formatting
Review contracts and invoices meticulously
Qualifications:
- Experience: Minimum of 3 years in an administrative or office support role.
- Education: AA or Bachelors; additional certifications are a plus.
- Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Organizational Skills: Exceptional attention to detail and ability to manage multiple tasks simultaneously.
- Communication: Excellent verbal and written communication skills.
- Professionalism: Maintain confidentiality and exhibit professionalism at all times.
- Adaptability: Ability to thrive in a dynamic work environment.
