Job Title: Accounts Payable and Payroll Assistant
Reports To: Director of Finance and Operations
Annual Salary: $41,000 to $49,000
General Job Brief
Under the direct supervision of the Director of Finance and Operations, the Finance Assistant will process payroll, accounts payable, and receipts for the Episcopal Diocese of Arizona and assist the Finance Department with special projects. This position will provide insight and guidance for ongoing policy and process improvements for the Diocese. This position is critical to ensuring the utmost support for maintaining timely processing of payroll, accounts payable and ensuring proper cash flow requirements of The Episcopal Diocese of Arizona.
Typical Duties:
Payroll
- Enter deduction and benefits in the payroll software system based on information provided by
- Administration
- Collect and confirm timekeeping information for all employees to ensure compliance with Fair
- Labor Standards Act (FLSA)
- Calculate pay according to hours worked incorporating leaves and overtime
- Manage and calculate taxes and required deductions
- Prepare timely payment of all direct deposits through a bank payment system
- Issue timely payroll invoices for reimbursement to the diocese
- Preparing payroll liability checks for signature by diocese treasurer
- Maintain updated, organized, and accurate payroll records
- Investigate and resolve any discrepancies in payroll directly with Director of Finance and
- Operations
Accounts Payable
- Assemble and review invoices to be completed for payment
- Preparing and processing invoices into the accounts payable system
- Checking and verifying invoices for accuracy
- Preparing checks for signature by the diocese treasurer
- Filing and maintaining well organized accounts payable records
- Distribute signed checks to all vendors and payees
Accounts Receivable
- Record incoming payments from lockbox and remote deposits in accounting software daily
- Monitor and track accounts receivable and ensure the communication between the Property and Revenue Assistant for accurate and timely collection.
Other
- Ensure notification to HR/Benefits Administrator for human resource changes, adds, deletes, terminations, etc. for timely processing of payroll by the finance department
- Prepare and cooperate with annual audit
- Support the finance office's work as time allows and as needed
- Answer questions from employees and staff in a timely, courteous, helpful and pleasant manner

Knowledge:
Must demonstrate a high level of understanding of payroll, accounts payable and receipt processes.
Education and Experience:
A bachelor’s degree is preferred. Must have 3-5 years of progressive administrative experience, preferably in a non-profit environment.
Ability and Skills:
- High attention to detail and accuracy; highly organized
- Ability to effectively communicate with others and to work harmoniously with related personnel
- Ability to organize and prioritize work
- Ability to review operations for efficiencies; make suggestions for improvements
- Highly proficient in Microsoft Office products (Word, Excel, Outlook) and Google mail
Physical Requirements:
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
- Specific vision abilities required by this job include close vision requirements due to computer work
- Prolonged periods sitting at a desk
- Must be able to lift up to 15 pounds at times
Fair Labor Standards Act:
This position is full-time, non-exempt for overtime pay provisions as provided by the Federal Fair
Labor Standards Act (FLSA) and any applicable state laws. Remote option available 2-3 days per week.

Pay: $20.00 - $24.00 per hour
