Position Summary/Purpose of Position:
The Course & Classroom Scheduling Services (CCSS) Manager oversees the daily operations of the CCSS area in the Office of the University Registrar. The manager oversees a cross-functional team providing a high level of academic support services to a variety of stakeholders, including the Colleges and Departments, and administrative offices (e.g. Extended Studies, Undergraduate Studies, and Education Abroad) to resolve course, classroom, and final exams issues, questions, and concerns. The duties of this position include: the implementation of the academic calendar as it relates to course creation and maintenance, classroom scheduling, the scheduling and publication of final examinations, and the maintenance of course and classroom data in the Student Information System (SIS) to support the student registration process. The incumbent manages course and classroom scheduling functionalities in SIS, the curriculum management system, and the 25Live room reservations and classroom scheduling system, and recommends and assists with developments and enhancements to these systems. The manager is responsible for the management of room reservations and the implementation of Memoranda of Understanding (MOUs) for the shared use of general-purpose classrooms (GPCs). The incumbent responds to requests for data and analyses on courses, classroom space, and room scheduling trends. In accordance with room scheduling policies and procedures, the incumbent oversees the creation and distribution of course and classroom scheduling-related publications, including the schedule of classes and final examinations. The manager maximizes the use of academic facilities resources and recommends improvements to procedures to increase scheduling efficiency. The manager functions as the primary contact for campus committees on academic facilities, and represents the Office of the University Registrar on committees (e.g. Teaching Facilities Committee) and workgroups (e.g. the Classroom Master Planning and the Instructional Facilities Working Group) to resolve any classroom issues or concerns and to facilitate deliberations on the use of shared classroom resources.

Minimum Qualifications:
Education:
- Bachelor’s degree required.
Experience:
- Minimum of four years of experience (including staff supervision) in higher education, preferably in course and classroom scheduling.
- Experience working on a records management system and interpreting, explaining, and operationalizing policies.
Knowledge, Skills, and Abilities:
- Use of a scheduling software, such as 25Live, EMS, Ad Astra, or other comparable software packages.
- Ability to query and extract data from relational databases to create reports, and demonstrated experience with data analyses and visualization.
- Competency in providing training to individuals and groups.
- Knowledge of course and classroom scheduling policies, procedures, and operations typically found in four-year colleges and universities.
- Ability to interpret, communicate, and operationalize USM and university policies, guidelines, and procedures associated with the scheduling of courses, classrooms, and final exams.
- Ability to maintain confidentiality of information obtained, and be able to perform the duties of the position in compliance with all requirements, regulations and laws, particularly the Family Educational Rights and Privacy Act (FERPA).
- Excellent communication, interpersonal, organizational, and negotiation skills are required to partner and work with various campus stakeholders in the resolution of issues related to course data and classroom usage.
- Experience with the usage and management of course and classroom scheduling software solutions. Strong analytical and problem-solving skills.
- Proficiency with data querying and reporting tools, databases, and spreadsheets.
- Accuracy and attention to detail.

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages and other items, to walk short distances, and drive a vehicle to deliver and pick up materials.
