Job Summary:
The Community ARB Coordinator will work closely with the Director of Community Operations and property owners during the three periods of ownership: (i) initial ownership, (ii) the renovation, home planning and construction process and (iii) post construction maintenance and (iv) community compliance. In managing the POA’s responsibilities the Community ARB Coordinator will work closely with the Director of Community Operations, the Architectural Review Board, contractors, architects, engineers, vendors, suppliers, utility providers and governmental authorities. The ARB Coordinator will be an employee of the POA and report to the Director of Community Operations.
Duties and Responsibilities:
- Acts as Architectural Review Board & Community Appearance Administrator, primary contact, liaison and support to the committees to oversee and enforce covenants, ARB guidelines, and rules and regulations.

Ensure agendas and minutes for ARB & Community Appearance meetings are prepared. Oversees and implements the issuance of permits, maintain files, and communicates with property owners.
- Respond to complaints or input from residents regarding a violation at a property, properties under construction, properties scheduled for hearings, etc.
- Perform Certificate of Compliance inspections for new and re-sale properties within the time required. Also, perform inspection following project completion to confirm and submit for refund of construction deposits.
- Maintains all property records including, but not limited to, subdivision plats, planning and zoning files, utility records, lot improvement plans and approvals, variance requests and approvals, ARB submissions and approvals, etc.

Assuring builder, contractor, supplier, vendor, etc. compliance with community rules and regulations.

Recommend policies and procedures for compliance for both internal team and residents.
- Effectively address difficult and sensitive inquiries, suggestions, and complaints with the Director of Community Operations.
- Works with all outside the gate property interests, i.e. DOT, Palm Beach County, City of Boca Raton, real estate agents, closing attorneys, mortgage providers, title examiners, architects, engineers, contractors, arborists, and other service providers.

Review property inspection reports and ensure completion of identified problems. Implement necessary changes to prevent recurrence of identified or similar problems.
- Responsible for maintaining the confidentiality of all board and corporate business where confidentiality is required.
- Assist with various office functions and duties as requested.

Other duties as assigned by the Director of Community Operations Manager.
Qualifications:

Administration experience in a homeowner’s association, public agency, city government, nonprofit entity, or legal environment is preferred with a dedication to providing excellent client service to members.
- High-level of computer proficiency, specifically Microsoft Office is required.
- Florida CAM license preferred, but not required and CAI designations highly preferred.
Knowledge, Skills, and Abilities:
- Ability to perform a wide variety of complex and confidential administrative duties.
- Ability to read blueprints and construction plans.
- Considerable knowledge of applicable federal, state and local laws and regulations.
- Speaks clearly and persuasively in positive and negative situations. Responds well to questions. Reads and interprets written information easily. Communicates clearly, concisely and professionally in writing.
- Ability to assess situations to determine the importance, urgency and risks and make clear decisions in the organization's best interest.

- Ability to obtain and maintain a valid state of Florida driver’s license.
Physical Requirements:
Ability to lift to 30 lbs.; work in an upright standing or sitting position for extended periods of time, may fluctuate. May handle, finger, grasp and lift objects and packages. Reach with hands and arms, communicate, receive, and exchange ideas and information. Ability to navigate the property/building quickly and easily as required to meet the job functions; complete all required forms.

Working Conditions:
While performing the duties of this job, the employee is exposed to outdoor weather conditions, due to inspections of houses. The noise level in the work environment is usually moderate.
