MAJOR FUNCTION:
Clerical office work involving varied and independent work assignments with those areas of established procedures, practices, and policies of the assigned office.
ILLUSTRATIVE DUTIES:
- Performs clerical and public contact work-processing probationer complaints, questions, and concerns; and respond to general inquiries for public information regarding specific defendants, probation or referral agencies.
- Performs clerical work which follows established probation procedure and assists in the development of that procedure.
- Produces correspondence to probationers, citizens, Judiciary, etc.
- Takes sworn statements and notarizes legal documents.
- Processes case updates on probation changes and posts data to the CJIS system.
- Accesses, and provides officer with DHSMV records as needed.
- May obtain confidential FCIC/NCIC records.
- Receives and reviews initial data forms and interviews probationers, verifying that information given is sufficient to begin supervision of case.
- Coordinates assignment of probation cases and pre-sentence investigations.
- Manages collection of suspended driver’s licenses and forwards to Clerk of Court for submission to DHSMV.
- Initiates and prepares electronic and paper files.
- Reviews, interprets and produces legal documents.
- Collects, reviews, and endorses money order payments.
- May assist accounting clerk in process/receipt/voucher/deposit of probationer payments.
- Handles daily mail duties and monitors fax machine for distribution of confidential probationer records.
- Directs legal court documents to appropriate officer, supervisor, department or organization.
- May prepare or assist in the record keeping of employee payroll records.
- Acts as office receptionist and switchboard operator as needed.
- May act as secretary to assigned supervisor.
- Performs related duties as required.
- Knowledge of the English, spelling and arithmetic.
- Ability to understand and follow oral and written instructions.
- Ability to learn assigned clerical task of office assigned and adhere to prescribed routines.
- Ability to make mathematical computations and tabulations accurately and with reasonable speed.
- Ability to meet and deal courteously and effectively with employees and the general public.
- Ability to use personal computer or remote computer terminals, typewriters, and other office equipment of the assigned work unit.
- Ability to use good judgement and make independent decisions.
- Ability to learn Criminal Justice Information System processes and codes and to interpret same.
- Ability to maintain confidentiality of records not deemed to be public information.
MINIMUM QUALIFICATIONS:
- Graduate of an accredited high school or possess an acceptable equivalency diploma.
- A minimum of one (2) years of clerical work experience.
- Must be able to type 35 CWPM with a maximum of 10 errors.
- Must be able to utilize all features afforded by word processing software and other required software and personal computer or CRT equipment utilized by the assigned work unit.
- Must possess a valid driver's license and be able to secure a valid Florida driver's license at the time of employment.
- A comparable amount of related training and experience may be substituted for the minimum qualifications.
SPECIAL REQUIREMENTS:
County Probation and the BoCC have a high degree of public accountability, regular attendance, punctuality, and integrity are essential requirements of this position.
- Must have own daily transportation and telephone as employee is subject to call.
- Applicant/employee shall be fingerprinted and subject to personal background investigations procedures to ascertain an evaluation and determination of moral character.
- Must undergo a Level 2 (FDLE) screening submitted electronically before commencing work. This certification must be maintained as a condition of employment.
This position may be required to report for work when a declaration of emergency has been declared in Polk County.
