Position Overview: We are seeking a proactive and detail-oriented individual to join our team and assist in project management and estimating tasks. This position offers a unique opportunity to gain hands-on experience in various aspects of project coordination, contract management, and administrative duties within the construction industry. Responsibilities and Duties:
- Provide support in clerical duties such as answering phones, filing, copying, and scanning documents.
- Complete warranty paperwork and maintain accurate records of all project-related information.
- Represent the service department and assist in service calls when needed.
- Assist in managing schedules for contract teams and coordinating with subcontractors.
- Correspond with vendors and assist in resolving issues as they arise.
- Monitor and track project progress, scheduling needs, and resolve day-to-day problems promptly.
- Assist in putting together operation and maintenance manuals (O&M’s) for completed projects.
- Aid in contract tracking and process management, including preparing subcontracts for commercial projects and ensuring compliance with legal and regulatory requirements.
- Coordinate with field teams by preparing Jobsite Plans, Specs, Binders, and scheduling pre-project walkthroughs.
- Assist in establishing a new employee onboarding process for safety and maintain medical information lists for injuries and hospitals.
- Check and update the Purchase Order Book based on current purchase orders weekly.
- Prepare project binders for Commercial projects.
- Track upcoming agendas for meetings and provide meeting minutes to the Project Managers for the Commercial Projects.
Qualifications:
- Currently enrolled in a relevant undergraduate or graduate program (Construction Management, Civil Engineering, Business Administration, etc.).
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work effectively in a team environment and adapt to changing priorities.
- Prior experience or coursework related to construction project management or estimating is a plus but not required.
Job Type: Full-time
Pay: $19.00 - $23.00 per hour
