We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will support various departments with day-to-day administrative tasks and special projects. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities
- Organize the following week's office events such as Meet & Greet, Birthday, Sport, Food & Beverage, and other company events.
- Propose and organize activities to enhance office culture and employee engagement.
- Make any reservations as needed.
- Onboard new hires in collaboration with HR.
- Manage phone calls, including screening and routing.
- Host guests and visitors, ensuring a professional and welcoming environment.
- Make office-related announcements.
- Manage conference room schedules and bookings.
- Oversee building transitions and manage associated tasks.
- Maintain the office supplies room and common areas.
- Handle info emails and IT-related tasks and tickets.
- Load and unload the dishwasher.
- Clean out the refrigerator weekly.
- Send out new building transitional tracker updates and follow up on open items.
- Prepare the Monday meeting agenda.
- Send out office meeting recaps.
- Update the office inventory tracker.
- Log weekend coverage requests and manage the weekend coverage calendar.
- Oversee buildings transitioning out of use.
- Order office supplies and research new deals and suppliers monthly.
- Post job openings, review resumes, conduct phone screenings, and set up next round interviews.
- Assist with internal projects.
- Update and manage content on the company website.
- Any additional tasks and projects assigned by upper management.
Qualifications
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in MS Office (MS Excel, Word, PowerPoint).
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to multitask and prioritize tasks.
- Attention to detail and problem-solving skills.
- Professional demeanor and strong interpersonal skills.
Working Conditions
- Full-time position.
- In-person, Monday to Friday, 9 AM - 6 PM.
- Standard office environment with occasional requirements to assist with events or activities outside of regular hours.
Job Types: Full-time, Temporary
Pay: $18.00 - $21.00 per hour
