Job Description
Legal Prep Charter Academy seeks an Operations Assistant to begin on August 5, 2024. Legal Prep Charter Academy (“Legal Prep”) is Chicago’s first and only legal-themed high school, putting diverse, low-income students on the path for college success. Legal Prep opened its doors on August 20, 2012 in West Garfield Park and began offering free, college preparatory education to students in a community with primarily low performing schools. Legal Prep is currently the highest rated high school in a two-mile radius and has over 70% of its alumni in college. Legal Prep is in its thirteenth year of operation this school year and serves around 300 students. As the name indicates, Legal Prep has a legal-themed curriculum and uses this unique theme to engage its diverse population of students in their learning and teach skills that will make our students successful in college and life. Legal Prep also works closely with the Chicago legal community to provide additional resources, exposure, and skills that complement our curriculum and promote analytical reasoning and critical thinking.
The Operations Assistant (“Office Admin”) sits at the school's front desk, greeting students and guests upon arrival. The position supports the operations of the main office of the school, maintaining student records and files, supporting a variety of CPS compliance matters, communicating school-wide messages to families and students, and providing general administrative support to our school programs, initiatives, and campaigns. This position also generally supports the special programs with logistical and other tasks.
Given the diversity of this role, this position requires a unique combination of student compassion, high expectations, and front of the house professionalism. While there will be a focus on data collection and compliance and other administrative support, the Office Admin must also work well with students, be customer-focused with parents, and develop relationships with the students, parents, and teacher alike, knowing that our collective work is benefitting the students that we serve every day. Strong organizational skills, attention to detail, communication, and interpersonal skills are among the critical attributes needed for this position. In addition, the Office Admin should be a person of vision, high energy, initiative, creativity, and follow through. This position reports to the Operations Manager.
Responsibilities:
The Operations Assistant position performs a variety of administrative tasks that promote efficiency in the daily operations of the school and its various student facing and community facing activities, and reports to the Operations Manager.
These tasks include, but are not limited to:
Greeting students and guests upon arrival.
Sending out automated phone calls as needed for attendance and other issues.
Checking students into the building upon arrival.
Maintaining and updating office files and databases.
Preparing correspondence, digital newsletters, and promotional materials.
Preparing and organizing materials for school events, student activities, special programs, and fundraising events.
Assisting in planning of and attending school events, student activities, special programs, and fundraising events.
Provide general administrative support services, including support of other departments as the need arises, including providing coverage at the front desk and main office.
Qualifications:
The person in this exempt position needs to be a team player, adaptable to the multiple needs of a school environment, and able to support multiple projects and co-workers simultaneously.
Must be well organized, have excellent written and oral communication skills, display keen attention to detail, and able to interact effectively with students, parents and staff.
Must be a self-starter and enthusiastic team member.
Must be able to effectively work with and be respectful and sensitive to persons from various cultures, socioeconomic, ethnic, religious, and racial backgrounds.
Must be available for extended school day activities and evening school and fundraising events that occur at least monthly throughout the school year.
Must be able to recognize and maintain confidentiality of student, staff and school information.
Have knowledge of office systems, basic bookkeeping skills, and experience with Google Documents, Microsoft Office and similar word processing and spreadsheet software.
Proficiency with database entry systems, including Salesforce, QuickBooks or the equivalent.
Experience using CANVA design software or the equivalent graphic design software.
Experience with website design and maintenance is a plus.
Associate or Bachelor’s degree or the equivalent work experience.
Schedule:
This position follows the school calendar, which runs from approximately the end of July to mid-June.
This is a Monday-Friday, in person position, with typical hours being 7:30 am – 4:00 pm, as well as occasional events and activities that involve extended hours.
