Job Summary
The Black Car Fund is a not-for-profit that provides workers’ compensation insurance, safety education, and related benefits to For-Hire drivers who operate in the state of New York and are affiliated with companies that are The Fund’s Member Bases.
We are looking for an Administrative Assistant to perform a variety of administrative and clerical tasks at The Black Car Fund’s Driver Education Center in Long Island City, Queens. The successful candidate will work directly with the Director of Education.
Duties of the Administrative Assistant include assisting the Director of Education with daily office tasks and manage our Education Center’s general administrative activities as required. Said candidate must be organized, energetic, personable, articulate, quick study, takes initiative, and is a customer service friendly individual who can contribute to our expanding team.
Said candidate must also be willing to uphold the mission and values established by The Black Car Fund. The right candidate must have the proven ability to work effectively in a collaborative and diverse environment with all levels of business partners while remaining professional and level-headed.
Principal Duties/Responsibilities:
Administrative Assistant responsibilities could include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office, specifically, Word, Excel, Outlook and PowerPoint, as well as office equipment and supplies. If you also have previous experience as a secretary or Executive Administrative Assistant, we’d like to meet you!
Other duties may include, but are not limited to the following:
- Answer and direct phone calls
- Check in class attendees and direct them to their classroom
- Plan meetings and take detailed notes
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system
- Update and maintain office/ Center’s policies and procedures as directed
- Maintain supplies and submit requests to the proper BCF personnel in a manner that is appropriate
- Maintain contact lists
- Provide general support to visitors
- Act as the point of contact for internal and external clients/company partners
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers when asked
- Manage training course and benefit material inventory, work with Marketing team as necessary to complete this task
- Ensure that facility matters are stocked and clean (restrooms, kitchen, classrooms, and coffee station), and report issues promptly and accordingly
- Escalate issues, such as IT, facility needs to the proper personnel in a manner that’s appropriate
Candidate Profile and Specific Requirements:
- A minimum of 2 years prior experience as an Administrative Assistant, Secretary, Front Desk, or Executive Assistant experience
This position also requires:
- Proven experience in the field
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers, copiers, and fax machines
- Proficiency in MS Word, MS Excel, and MS PowerPoint, Outlook in particular is a must
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Work weekdays, Monday - Thursday (9am - 4pm) and occasional weekends for special events (rare)
- Ability to speak and translate Spanish is a plus.
