The Leasing Administrator is responsible for assuring that administrative systems fully support operations and compliance for YWCA Brooklyn’s 302 units of affordable, permanent housing. Specifically, this position is responsible for maintaining all aspects of rent invoicing, collection, receivables, and reporting as well as administrative duties including compliance, file management, and resident correspondence.
Responsibilities:
- Screen, schedule appointments, and follow up with new applicants.
- Prepare new tenant move-in packets.
- Assure that the vacant unit is ready for occupancy including that all keys are working properly – Door key, Key fob, and Mailbox key.
- Schedule vacant unit inspection – DHS, HPD, HRA.
- Provide new residents with keys - unit door, mailbox, and key fob for building entry and elevator vestibule.
- Maintain housing application waitlist.
- Prepare lease renewals and tenant Income certification (TIC) appointment letters.
- Schedule appointments with tenants to sign lease renewals/TIC forms.
- Complete lease renewals and tenant income certification in Real Page.
- Prepare Unit Turnover forms and send them to the Facilities Department.
- Update the Unit Turnover-Rental Attempts shared spreadsheet.
- Maintain housing program records, files, and reports to comply with all regulatory requirements fully.
- Provide administrative support for VP of Housing Compliance and Senior Housing Manager.
- Contact residents with delinquent accounts for updated payment information.
- Upload housing applications into property management software.
- Prepare late notices, rent demands, and all other rent and subsidy-related correspondence to tenants.
- Update resident directory for tenant move-ins (or out)
- Email official move-in and move-out dates for tenants.
- Copy and mail out Housing letters.
- Send out and file completed lease renewals to tenants.
- Add a label for each new resident, with their name and unit number, to the inside designated mailbox.
- Perform additional related tasks as assigned
Qualifications:
- Minimum of 5 years’ experience in affordable or supportive housing
- Expertise working with vulnerable populations including those with mental illness
- Capacity for multitasking and working effectively in a quick-paced environment
- Meticulous level of organization and ability to develop efficient administrative systems
- Strong written, verbal, and interpersonal skills
- Strong computer proficiency, particularly in Microsoft Office Suite
- Experience with property management software preferred
