Summary
This position blends work aspects of the hospitality industry, which includes, but is not limited to; reception, appointment scheduling, customer service, retail cashiering, laundry, and keeping the spa clean. Also includes opening and closing duties depending upon the shift worked. Because of the high degree of client interaction, this position represents the school to the public community at large therefore requires professional appearance and respectful behavior.
Good speaking skills, typing/computer skills, and PR (customer service) with clients, prospective students; i.e., the public is a must — to keep the office running smoothly and efficiently. Ability to multitask keeping spa/reception area clean & tidy, maintain accurate track of appointments, answer phones, take messages, as well as organize and file clinic-related forms.
Requirements
HS diploma, GED certificate, or equivalent;
Previous experience (salary commensurate with degree of experience and skills);
Excellent communication and customer service skills;
Excellent hygiene and dress habits for dealing with the public on a daily basis.
Good computer, typing, and multitasking skills;
Duties
Job duties to include, but are not limited to:
- It is important to portray a positive and friendly image to all people as the receptionist sets the mood and spirit of the spa. Greet every guest and student upon arrival and help with intake forms, checking in practitioners, setting appointments in our booking software, and answering questions.
- Answer phone within 3 rings, and return missed calls promptly. Monitor and respond to client questions via booker AI app. Contact clients who are late for appointments within 10 minutes of their missed appointment. Take messages for appropriate personnel and book appointments accurately for the student clinic.
- Handle disgruntled guests with respect & kindness, communicate clearly with your supervisor and document any situation that your supervisor or coworkers should be aware of. Monitor surveillance system, notify appropriate personnel of suspicious behavior, or in case of emergencies.
- Answer student questions and help them as needed. Learn and be familiar with various crystals we sell and assist crystal clients and/or crystal attendant with check out.
- Set up and take down street marketing advertisements daily (flags, A-frame, etc.).
- Make sure spa treatments are properly prepped on time, and spa carts & laundry area are cleaned regularly. Maintain a tidy reception area. Wash glasses, and stock water areas, keep break room & reception area tidy, take out trash & recycling as needed. Keep up on clinic/spa laundry daily. Notify the Spa Manager or Assistant Spa Manager of needed supplies and sundry items via inventory tracker.
- Learn and be proficient with our booking software and on all spa menu items & descriptions. Stay up to date on all specials and promotions, both current and upcoming. Work cash register properly and have attention to detail to correctly take payments, apply specials, and maintain an accurate till.
- Unlock the building prior to class start for the opening shift, and lock at spa close for the closing shift.
- Read and sign off on weekly front desk updates as well as attend monthly front desk meetings and adhere to all policies and procedures as listed in the employee and front desk handbooks.
- Additional special tasks as assigned by your Spa Manager/Director or Campus Director.
Benefits
After starting with a provisional period of 60 days, wage increases commensurate with annual performance reviews. The benefit of one free student massage per month for self and $12.50 off student massages for household family members. Massages are not transferable. 401k matching plan after first year of employment.
