POSITION: 900 Afternoon Coordinator
REPORTS TO: 900 Manager
FLSA STATUS: Non-Exempt
POSITION SUMMARY:This position is chiefly responsible for supporting the Front Office Manager and staff in delivering an excellent customer service experience to families and supporting the needs of Bubbles Academy operations.
ESSENTIAL FUNCTIONS:
- Physical Requirements: lift up to 50 pounds; stand, twist, and bend for extended periods of time including kneeling; move, and/or set up tables, large foam climbers, boxes with art supply shipment, etc.; utilize stairs and/or ladders to access parent lounge and attic areas where we store supplies and equipment; ability to discern audible sounds such as program music as well as for the safety of the children be able to hear children and see children.
- Observes and follows all company rules and policies, including anti-harassment policies.
- Upholds Bubbles Academy’s mission statement.
GENERAL FUNCTIONS:
- Greets families, takes attendance as they come in, conducts tours, and directs new families or visitors to their class
- Facilitates pop-in art for families, setting up, organizing, and cleaning up supplies
- Connects with families during pop-in art and recommends classes and events for them
- Closes Bubbles Academy including lights and equipment, classroom spaces, and the front office
- Knowledgeably speaks about classes and programming to ensure appropriate placement and reenrollment
- Coordinates birthday parties as needed
- Assists parents with questions they may have, and distributes schedules and brochures.
- Answers calls and replies to emails, answers questions, registers families, takes messages and returns calls promptly
- Ensures that each departing child is with the appropriate adult when leaving the facility.
- Adheres to and observes all operational standards set forth by 900 Manager
- Thinks actively about “what comes next” in the day, always being aware and prepared for space reservations, classes, and special events
- Works on supplemental project list
- Cross checks classroom attendances, make-ups, and daily cash flow
- Ensures that all family contact information is updated and complete
- Supports Executive Director, Operations Director, Front Office Manager and Events Manager
- Is able to be a flexible team member, helping other departments when needed.
Knowledge, Skills, and Abilities
- Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping.
- Knowledge of modern business communication, including style and format of letters, contracts, emails, and reports.
- Skill to use a personal computer and various software packages.
- Ability to establish priorities, work independently, and proceed with objectives without supervision.
- Ability to handle and resolve recurring problems.
Credentials and Experience
- Experience with children ages 0-5
- A degree from a four year college (preferred)
- Two years related experience or equivalent combination of education and experience.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 12 – 16 per week
