Role Overview:
As a Customer Service Coordinator at GradCity, your role will be vital in delivering exceptional customer service before, during, and after booking. Reporting directly to the Customer Service Manager, you will interact with potential and existing clients, addressing inquiries about trip details and accounts, processing payments, providing thorough and timely communication, and collaborating with the Operations, Sales, and Marketing teams to meet customer deadlines. This role includes opportunities to travel to international destinations and features varying hours based on travel seasons. It is open only to applicants located in the US or Canada.
Responsibilities:
Customer Service:
- Resolve customer issues promptly and professionally via phone, email, and chat, including billing inquiries and sales opportunities.
- Respond to customer correspondence in a courteous and effective manner.
- Promote sales by explaining available services to customers.
- Utilize provided training materials and job tools to accurately address customer issues.
- Assist in finding solutions for pre-travel, onsite, and post-travel customer care concerns.
- Participate in Sales and Operations meetings and attend Product training courses as required.
Data Entry/Reporting:
- Process payments and invoice customers accurately.
- Enter customer information into the system, ensuring accounts, telephone numbers, and contact details are up to date.
- Process rooming lists and obtain necessary authorization forms when applicable.
Requirements:
- Preferred: College or university degree
- Preferred: 1-3 years of Customer Service or related experience
- Ability to work with patience and courtesy.
- Excellent verbal and written communication skills.
- Proactive and driven with logical problem-solving abilities.
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Passion for travel and commitment to delivering excellence.
- Proficiency in keyboard and PV systems; familiarity with Microsoft Word, Excel, and PowerPoint is preferred.
- Willingness to travel is a plus!
