Maintenance Coordinator
Location: 2755 White Plains Road, Bronx NY
Dolphin Property Services is a reputable real estate property management company specializing in affordable housing properties. We are a growing NY-based Property Management firm committed to providing quality housing for our residents. We are currently seeking a skilled and reliable Superintendent to join our team and contribute to the maintenance and upkeep of our affordable housing properties.
Summary/Objective:
The role of the Maintenance Coordinator is to oversee all aspects of the work order management process for the site, under the supervision of the Director of Maintenance and VP of Field Operations.
Classification: Non-exempt (overtime eligible)
Essential function/Responsibilities: duties include but are not limited to the following
- Field all calls from residents regarding required repairs in their apartments;
- Monitor all work order requests received via the answering service;
- Enter all work orders in Yardi, using appropriate work type classifications for reporting purposes;
- Coordinate with the Maintenance Director and maintenance team on assignment of work order repairs and monitoring of completion;
- Assist the Maintenance Director as needed with creating purchase orders in Yardi for supplies orders;
- In conjunction with the Maintenance Director, schedule vendors as needed for repairs which cannot be completed by in house staff;
- Run weekly reports on open work orders and follow up with staff regarding any pending repairs;
- Conduct follow-up calls to residents to ensure satisfaction with completion of repairs;
- Retrieve documents from the filing system as needed for resident legal cases;
- Assist with special projects as assigned by the District Manager or Asst. VP of Field Operations.
- Must respect tenant’s privacy and maintain confidentiality in all aspects of property, residents and employees
Requirements:
- Candidate must have at least 2 years of work experience in an office environment (computer skills and knowledge of relevant software, operation of standard office equipment and practices/principles of basic office management).
- Must have at least a High School Diploma.
- Affordable Housing experience is a plus.
- Candidate must carry a professional demeanor
- Candidates must be proficient in Microsoft Word, Excel, and Outlook.
- Yardi experience is a PLUS
- Possess a proactive and can-do attitude.
- Bilingual skills (i.e.: Spanish) are a MUST at certain properties
- Ability to work in a fast-paced environment.
- Possess strong multi-tasking, organizational, communication and analytical skills.
