ASSISTANT BUSINESS MANAGER
About Atlanta Youth Academy: Atlanta Youth Academy (AYA) is a Christian preparatory school for inner-city youth in Pre-K through 8th grades that was founded in 1997. AYA exposes students who otherwise would not have access to such opportunity to life-changing experiences, launching them to a brighter future in high school, college and beyond.
Position Overview: The Assistant Business Manager is a full-time position which provides support to the Director of Business and Finance. This professional oversees student billing and accounts receivable processing, , compiles and maintains accounts receivable reports, subsidiary systems, reconciliations to applicable general ledger accounts, and related financial aid subledgers and systems. The individual works with families to understand bills and collections processes of the school. The professional in this role will possess the business and technology acumen to be able to form relationships with key constituents, and effectively answer billing and other related accounting questions. This position encompasses a wide range of tasks from data entry to higher level accounting responsibilities.
General areas of oversight:
- Assist with student enrollment and re-enrollment including collection of family financial data for financial aid and tuition calculation
- Administer SSO scholarships including GOAL and Arete
- Process tuition, tuition credits and other student related fees in the FACTS Tuition Management and the general ledger.
- Reviews completed school nutrition reports submitted to the state monthly.
- Record cash receipts, chargebacks, refunds and checks returned for non-sufficient funds.
- Prepare monthly analysis of delinquent accounts receivable
- Communicate with parents regarding student billing inquiries, delinquent accounts, and rejected electronic payments.
- Assist with month end close including account reconciliation and preparation of journal entries.
- Provide reconciliations and other assistance as needed for annual audit.
- Maintain accounts payable
- Record and reconcile monthly credit card expenditures
- Maintain expertise in subject matter through professional development.
- Provide administrative support to the Director of Business and Finance
- Other duties as requested
Requirements:
- Bachelor’s degree in Business, Accounting, or related field
- A minimum of 3 years’ experience in a similar position
- Overall computer proficiency including database management products, QuickBooks, Office 365, and G Suite
- Experience with billing and electronic payments systems software (FACTS Tuition Management preferred)
- Detail-oriented approach to work with a record of commitment to accuracy and excellence
- Strong analytical and communication skills, both written and verbal
- Ability to manage multiple priorities and meet deadlines
- Ability to apply common sense understanding and to carry out instructions furnished in written or oral form
- Excellent interpersonal skills and overall teach-ability
- Sound judgment relating to confidential matters
- Ability to work as part of a team and willingness to take on responsibilities beyond those explicitly assigned
- Understands and promotes the mission, standards, and policies of the school
