ABOUT THE HEALTH AND MEDICINE DIVISION
The Health and Medicine Division’s work consists of consensus studies, roundtables and forums, and workshops, and standing committees divided among six boards: the Board on Global Health, Board on Health Care Services, Board on Health Sciences Policy, Board on Population Health and Public Health Practice, Food and Nutrition Board, and the Board on Children, Youth, and Families (joint with the Division of Behavioral and Social Sciences and Education).
ABOUT THE OPPORTUNITY
The Health and Medicine Division (HMD) Program Support and Internal Communications Coordinator works with the Executive Office to support division staff implement procedures, projects, and other activities.
In addition, the incumbent will design and maintain division-wide project management systems and databases. The coordinator will also be responsible for facilitating division-wide internal communications. Working with HMD Executive Office staff, the coordinator will provide guidance to program staff to ensure compliance with division and institutional policies and procedures.
Job Description:
ESSENTIAL JOB DUTIES
1. Supports program staff as they conduct programmatic work, particularly as it relates to the use of technology to facilitate research and writing, as well as conducting hybrid and virtual meetings.
2. Organizes all staff and other meetings. Works with Executive Office to determine topics. Drafts agendas, invites presenters and participants, oversees meeting logistics, and prepares written summaries.
3. Coordinates sessions for staff on topics relevant to the work and functioning of the projects in the division. Drafts agenda for and coordinates meetings of the HMD Roundtable and Forum directors.
4. Serves as resource to division staff. Interprets and ensures consistent application of organizational policies.
5. Maintains division intranet site. Works with Executive Office and program staff to best provide division-wide project management and program support.
6. Maintains division-wide databases (e.g., project management, impact) and systems on a timely basis and develops reports as required.
7. Updates and maintains internal web pages and prepares staff newsletters and other internal communications.
8. Organizes activities and communications to support staff and builds division-wide community.

JOB SPECIFICATIONS
Required Knowledge, Skills, and Abilities: Proficiency in Microsoft Office Suite. Ability to plan and support extensive meeting activities. Ability to provide work direction and lead others in the successful execution of administrative tasks. Ability to solve intellectual problems using some latitude for independent judgment and discretion and the initiative to ensure administrative tasks are accomplished. Ability to prioritize work and the flexibility to change directions as the job dictates. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Excellent communication and interpersonal skills with a proven ability to effectively interact with all levels of employees.
Minimum Education/Training Requirements: High School Diploma, GED, or equivalent knowledge.
Minimum Experience: Six years of related experience, one of which was in a supervisory or working lead capacity.
Physical Capabilities: Ability to work at a computer for extended periods of time. Ability to travel.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to program officer/director. Sets objectives with supervisor. Supervisor is available when needed to assist in problem resolution. Leads or supervises the work of subordinate staff.
Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $27.82 - $34.77 per hour. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.
Work Environment: Hybrid Office/Telecommute environment, expected onsite percentage 40%, with occasional travel between National Academies’ facilities and to off-site meeting/sponsor locations.
