The Administrative Assistant works with the Assistant Director of Education and other campus staff to meet organizational needs. The position is responsible for performing functions that support the delivery of all programs on campus. The Administrative Assistant reports to Assistant Director of Education.
Essential Duties and Responsibilities:
Displays excellent communication and organizational skills in responding to faculty, students, other college/institute staff, as well as other community stakeholders.
Solves problems within the scope of the position or promptly refers issues to appropriate staff as needed.
Promotes positive image and reputation of the campus in all matters related to the college/institute including in the community.
Adheres to the Fortis policies and procedures for the College/Institute. Maintain confidentiality of student records and follow all recordkeeping policies and governmental regulations including the Family Educational Rights and Privacy Act (FERPA).
Ensures that all incoming student paperwork is assembled including preparation of all student files utilizing e-file systems, CampusVue, spreadsheets and coordinates with Admissions Department and Senior Registrar (including but not limited to collection and tracking of documentation for admission requirements including POG, background and drug screen documentation, immunizations, and other student information as needed).
Assists Senior Registrar with maintaining all student files according to accreditation policies and procedures and supports the services of the registrar department. Respond promptly, accurately, and within legal guidelines to requests regarding student records and resolves problems regarding student records.
Seeks guidance from the Assistant Director of Education or Campus President for issues as needed.
Attends and prepares minutes for various campus meetings as needed.
Performs the office and/or clerical support for departments as needed.
Responsible for assistance with collection of faculty file information (paperwork, i.e., pre-employment license web verification, curriculum vitaes, official transcripts, current CPR and updated immunizations) in conjunction with the ADOE/DOE/DON.
Supports all campus departments and functions, both on the campus and in the community.
Answers phones and relays messages. Designated as a backup Receptionist for the main phone system.
Responsible for ordering supplies, prepare inventory and distribution of textbooks, uniforms and student kits and distributing items in a timely manner.
Responsible for coordination of new student rosters, new student orientation updates (agenda and packets) and other new student orientation functions in concert with Admissions department and campus officials.
Accurately completes all assignments/projects within specified timeframes.
Regular and reliable attendance with detailed attention to personal time management.
Must be available for after-hours or flexible scheduling assignments if needed to accommodate student schedules and make-up sessions on evenings and/or weekends.
Other duties as assigned.
Skills/Competencies/Qualifications:
At least two years’ experience as an Administrative Assistant or related area.
· Administrative writing skills
· Ability to use Microsoft Office software including Word, Excel, PowerPoint and Publisher in managing variety of administrative processes
· Excellent organizational skills, professionalism and problem-solving skills
· Supply management, inventory (or similar skills) control experience
· Excellent verbal communication skills

Pay: $18.00 - $20.00 per hour
