What You’ll Do:
As an Executive Project Coordinator, you will play a pivotal role in supporting the CEO while simultaneously assisting in key projects within the organization. Responsibilities include:
Executive Support:
– Provide comprehensive administrative support to the CEO, including calendar management, time management, organizational needs, and meeting coordination.
– Prepare and edit presentations, reports, and other documents for executive review, ensuring accuracy and consistency.
– Schedule and organize meetings, including agenda development, logistics coordination, and follow-up actions.
– Assist in prioritizing tasks and projects to optimize the CEO’s time.
– Develop and maintain a time management system to enhance efficiency.
– Provide personal assistance to the executive as required.
Project Coordination:
– Coordinate cross-functional teams and stakeholders to ensure alignment and successful project outcomes.
– Apply strategic thinking to project planning and execution, ensuring that project activities align with the organization’s overarching goals and objectives.
– Anticipate future trends and challenges that may impact project outcomes, and proactively develop strategies to address them.
– Collaborate with senior management to provide insights and recommendations on how projects can contribute to the long-term success of the organization.
– Prepare and distribute regular project status updates to stakeholders and senior management.
– Ensure adherence to established processes and procedures within the organization.
– Coordinate with team members to ensure project milestones are met on time.
– Conduct research and analysis on various topics as needed.
– Maintain accurate project documentation, including project plans, progress reports, and meeting minutes.
– Monitor project deliverables to ensure they meet quality standards and specifications. Conduct regular quality reviews and implement corrective actions as needed to address any deficiencies.
- Bachelor’s degree in Business Administration, Project Management, and/or related field.
- Proven experience (3+ years) in executive assistance and project management roles, preferably in a corporate environment.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Proficiency in project management tools and software (e.g., Microsoft Project, Asana, Trello).
- Ability to work independently with minimal supervision and collaborate effectively in a team environment.
