The Patient Scheduling Specialists role is to schedule patient’s visits, tests and procedures, answer patient questions, and help patients and their families make informed decisions throughout their treatment. While maintaining the highest regard for customer service to our patients, the primary duties for the PSS will focus on outreaching and scheduling appointments including FFS, pediatrics, special projects (patient research, patient retention, PET CT, and other PCA new service initiatives), and vascular/vein clinic appointments. The PSS will be responsible for processing the required referrals/authorizations and coordinating care with ordering providers.
Primary Duties and Responsibilities
· Answering phones and greeting the patients in a respectful, courteous, confidential and caring manner
· Schedule appointments for patients including but not limited to consultations, in office procedures, follow up appointments.
· Communicates directly with patients and/or families either in person or on the phone to complete the registration process by collecting patient demographics, health information, and verifying insurance eligibility /benefits.
· Demonstrates knowledge in specialized areas of scheduling including but not limited to FFS, Vascular and Pediatric services.
· Verifies insurance coverage, benefits, and creates price estimates, reverifications as needed.
· Utilizes computer systems to enter access or verify patient data in real–time ensuring accuracy and completeness of information.
· Provide excellent customer service.
· Provide patient appointment and procedure scheduling both on telephone, and scheduling maintenance for one or more Physicians.
· Reschedule patient appointments as needed.
· Must possess solid interpersonal skills to communicate effectively with patients, co-workers, Management Staff, and Physicians.
· Assist with staff scheduling and assist manager as needed.
· Demonstrate professionalism in appearance and actions with patients, staff, Physicians and Administrators always.
· Responsible for collecting data directly from patients and referring provider offices to confirm and create scheduled appointments for patient services.
· Maintains confidentiality of patient information.
· The Scheduler assures that patients have all information they need so that they will arrive on time and prepared for their procedures and that the clinic has all the information required to bill properly for services.
· Receives requests to schedule procedures from physician offices and patients and schedules the procedure according to the availability of the various departments.
· Provides accurate information so that all departments may view and print the schedule for the appointments daily and maintains open communication with clinics regarding schedule changes.
· Responds to patient and caregivers’ inquiries related to routine and sensitive topics always in a compassionate and respectful manner.
· Generates, reviews, and analyzes patient data reports and follows up on issues and inconsistencies as necessary.
· Other duties may be assigned.
