Events and Office Assistant
Job Description
Tiffany Beer Events is an event planning and design firm in the Greater Boston area servicing clients in New England and beyond! Tiffany Beer Events is seeking an Events and Office Assistant to manage administrative duties for the firm’s Principal and Senior Event Producer, as well as provide administrative event planning support. This position is initially part-time with the potential to become full-time. This position is mostly WFH with occasional in-person trainings and meetings. In-person requirements increase in the Spring and Fall event seasons.
Administrative Responsibilities
- Diverse administrative duties for the firm Principal and Senior Event Producer include but are not limited to:
- Typing, dictation, spreadsheet creation, maintenance of filing system, and contacts database
- Managing complex calendars and schedules
- Scheduling client meetings and Zooms
- Planning and booking travel
- Organizing communication including drafting, reviewing, and sending communication on behalf of the team
- Maintaining professionalism and strict confidentiality with all materials
- ·Other administrative duties as assigned
Event Responsibilities
- Provide event planning support including but not limited to venue research, vendor management, logistics assistance and on-site event setup, execution and breakdown
- Engage with clients, vendors, and event participants, offering top-tier customer service to ensure a positive experience
- Pre-event preparation for firm Principal and Senior Event Producer including printing, assembly of event info packets, inventory management, etc.
- Manage client lists and gifting
- Gather yearly insurance certificates and paperwork from vendors as needed
- Collaborate closely with our experienced team to bring various events to life
- Organize post-event tasks, such as de-brief meetings, vendor billing, and client follow-up meetings
- Other event duties as assigned
Skillset and Background
- The qualified candidate will have:
- An associates or bachelor’s degree
- An interest and/or experience in executive assistance
- An interest and/or experience in event assistance and production
- Superior organizational skills
- Excellent written and oral communication skills
- Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) and Google Workspace
- Customer service/hospitality mindset
- Ability to work in a fast-paced industry while maintaining attention to detail
