Overview
We are seeking a highly organized and proactive administrative assistant to support the Director of Operations at our thriving therapy practice. The ideal candidate will be instrumental in ensuring the smooth operation of daily activities, managing schedules, coordinating meetings, and handling various administrative tasks. This role requires excellent communication skills, a keen eye for detail, and the ability to multitask.
Key Responsibilities
- Administrative Support: Provide comprehensive administrative support to the Director of Operations, including managing calendars, scheduling appointments, and preparing documentation.
- Communication Management: Handle correspondence, draft emails, and manage phone calls to ensure timely and effective communication.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Document Preparation: Assist in the preparation of reports, presentations, and other documents as needed.
- Project Assistance: Support the Director in various projects, ensuring deadlines are met and tasks are completed efficiently.
- Point of Contact: Serve as a point of contact for outside agencies and collaborative partners, providing information and assistance as needed.
Qualifications
- Experience: Prior administrative experience is preferred.
- Skills: Exceptional organizational and time-management skills, proficiency in Google workspace, and strong written and verbal communication abilities.
- Attributes: High level of discretion and confidentiality, proactive problem-solver, ability to work independently and as part of a team.
- Education: There is no degree requirement. We are looking for someone who is dependable, detail-oriented, and skilled at managing multiple areas of focus at once.
