SJSM is proud to announce an affiliation with South Texas Health System (STHS). STHS is a “Green book” hospital system which means that they have an ACGME-approved residency in all the core disciplines. Our students will have the opportunity to complete all their 3rd and 4th year rotations at this site, and greatly increase their chances for acceptance in any of the multitude of Residency positions at STHS. The hospital system boasts several firsts in the region including first to offer private behavioral health inpatient treatment; first neonatal surgery center; first designated Level III Trauma Center; and First and only freestanding hospital for children.
The responsibilities listed below are a comprehensive list and may not pertain to all program coordinator positions. In programs where one or more positions report to a Department Manager, these responsibilities may be delegated.
1) Assist in managing clinical students with updating their placement schedule in student databases
2) Inform the Supervisor about any work-related issues or problems and discuss the possible steps which will be taken to resolve the issues
3) Participate in weekly Clinical Staff Meetings and assist in the clinical committee meetings
4) Process letters of good standing and updated paperwork for students starting new rotations
5) Assist Clinical Manager with requests from ODCS
6) Answer All Phone Calls and voicemails; Respond to All Emails
a. Students, Preceptors, Coordinators
7) Work with Finance around student reimbursements, holds and charges (eg fees)
8) Communicating with hospital coordinators regarding miscellaneous issues and organize meetings with SJSM administration, Clerkship/Site Directors, and students as needed.
9) Orientate new students who pass Step 1 and convey document requirements
10) Communicate and share information with other department managers and personnel

· Performs other duties as assigned by the Department Manager.
QUALIFICATIONS:
Minimum of 3-5 years of office administration experience, preferably in a healthcare and/or education setting.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
· Excellent written and verbal communication skills.
· Ability to organize information.
· Ability to handle sensitive information with absolute confidentiality.
· Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint.
· Ability to make decisions independently or to escalate issues as needed.
